Role overview
The Office Administrator will provide broad administrative support across the organization. This role suits someone energetic, highly organized, and comfortable working in a changing environment. Key responsibilities
- Handle everyday front-desk and reception tasks such as welcoming vendors and couriers, checking in visitors, managing incoming mail, answering calls, and preparing ID badges.
- Track office and stationery supplies, place orders as needed, and obtain approvals on a regular schedule.
- Maintain action logs that monitor progress against deadlines and send reminders or follow-ups when required.
- Assist with status reports, presentations, and other business documents.
- Support operational teams with follow-up work and corrective actions when needed.
- Carry out general administrative and office-related duties.
- Keep safety-related documentation current and aligned with document control expectations.
- Plan and coordinate meetings, conferences, and other organizational activities.
- Keep boardrooms organized, stocked, and ready for clients and other visitors.
- Prepare agendas and record meeting minutes.
- Support requests for meetings, training sessions, events, and tours.
- Take on additional office projects and administrative tasks as assigned.
Qualifications and experience
The role calls for at least 3 years of experience, or an equivalent background, in an office assistant or similar administrative position. Experience with international travel coordination or event planning would be an advantage. Candidates should also be comfortable creating documents, reports, and spreadsheets.
Skills and working style
Success in this role requires advanced proficiency with Microsoft Office tools, especially Word, Excel, and PowerPoint, along with strong data entry and data analysis ability. The position also demands the capacity to juggle multiple priorities, stay organized in a fast-moving environment, and meet deadlines even when plans change quickly. Strong ethics, confidentiality, problem-solving ability, and the confidence to work with minimal supervision are important. Excellent attention to detail and clear written and verbal communication are essential. The job may also require flexible hours, including evenings and weekends.
