Role overview
Zapp is seeking a proactive and highly organised Executive Assistant to support its Executive Team in London. This is a full-time, on-site position based in Nine Elms, with five working days in the office each week. The role blends executive, personal, and strategic support, and plays a key part in keeping senior leadership operations running smoothly. You will act as a dependable extension of the leadership team, helping coordinate priorities, communications, and day-to-day execution across internal and external stakeholders.

What you will do
- Deliver senior-level administrative, personal, and strategic support to executives while managing their calendars, priorities, and communications carefully and discreetly.
- Use AI-enabled tools confidently to improve and simplify everyday administrative work.
- Act as a key coordination hub between leadership, internal teams, and outside partners so that information moves smoothly and everyone stays aligned.
- Organise diaries, meetings, appointments, and logistics for several executives, spotting clashes in advance and resolving them before they become problems.
- Draft, review, and organise executive documents such as presentations, reports, meeting agendas, and briefing packs.
- Monitor projects, deadlines, and action items, then follow up with stakeholders to keep work moving on time.
- Represent the Executive Team as a trusted gatekeeper, handling confidential matters with care and professionalism.
- Support board meetings, leadership offsites, and executive events from planning through execution.
- Contribute to the design and improvement of executive systems, workflows, and operating processes so they scale effectively.
- Work closely with Finance, HR, and Operations on approvals, contracts, and internal process coordination.
- Look for better ways to streamline tasks, resolve issues, and improve the effectiveness of executive operations.
- Handle end-to-end travel arrangements for the Executive Team, including bookings, schedules, and related logistics.
- Assist with a range of ad hoc tasks, including practical support such as collecting beverages for meetings or events.
- Provide flexible assistance when needed, including occasional support outside normal office hours.
Requirements
- At least 2 years of experience in an administrative or executive support position such as Executive Assistant or Personal Assistant, or in a similar role.
- Strong verbal and written communication skills, along with the confidence to build relationships with executives, stakeholders, and external partners.
- Excellent organisation and time management skills, with the ability to juggle competing priorities in a busy, fast-moving environment.
- A proactive mindset with the ability to anticipate needs, think ahead, and act with sound judgment and discretion.
- Hands-on experience managing complex calendars, travel arrangements, meetings, and executive communications.
- Good working knowledge of productivity and collaboration tools such as Google Workspace, Microsoft Office, and Slack.
- Strong eye for detail and the ability to create polished documents, presentations, and reports.
- Proven ability to solve problems and work independently with limited supervision.
- High integrity when dealing with confidential and sensitive information.
- A bachelor’s degree in Business Administration, Communications, or a related discipline, or equivalent professional experience.
