Role overview
This position supports the growth of new business while also helping retain existing accounts by delivering fast, accurate, and dependable service to assigned clients. The role works closely with producers to support account servicing and client communication.
Core duties
- Collect renewal details and risk-management recommendations for assigned accounts about 60 days before renewal, and provide renewals or binders within 5 days of receiving the request.
- Carry out scheduled service follow-ups with clients by phone or in person.
- Handle assigned client special projects once management approves them.
- Prepare binders, policy requests, and endorsement requests within 3 days of the quoted date.
- Keep communication with customers and carriers prompt and complete to reduce errors-and-omissions exposure.
- Review updated client exposure survey information, gather the full renewal file from the insured, and complete renewal applications 60 days ahead of the renewal date.
- Support producers whenever additional help is needed.
- Examine renewals to see whether non-standard coverage can be moved into a standard program.
- Prepare rewrite applications for business placed with companies no longer represented at least 30 days before renewal.
- Secure and submit all underwriting details required for renewal processing.
- Answer incoming calls and greet office visitors asking for quotes, policy changes, or new coverage.
- Complete changes and requests within 24 hours of receipt, determine carrier placement, prepare applications or endorsements, and collect premium where needed.
- Review active accounts to identify additional insurance lines that should be marketed before renewal.
- Process terminations and cancellations and decide the correct next steps within 72 hours of receiving them.
- Manage premium collection through form letters and request cancellations when required.
- Follow up on open claims and help resolve claims issues as needed.
- Promote new business opportunities with current clients for coverage lines not yet written by the agency.
- Work to increase limits and coverage levels through additional sales to existing clients.
- Request referrals from the client base, use the prospect database and automation tools to pursue new business, and aim for 5 referrals each week.
- Maintain records of all important conversations with insureds and carriers about exposures and coverage.
- Stay current on all rating products and related procedures.
- Complete other tasks assigned by management.
Knowledge, skills, and abilities
The ideal candidate is a proactive self-starter who can influence others effectively and who has a proven ability to present information clearly, both verbally and in writing.
Working conditions
This role is based in a busy office environment that requires multitasking. Employees are given a dedicated workstation with basic ergonomic support, including an ergonomic keyboard and mouse, dual monitors, and an adjustable chair. Additional workstation adjustments may be provided upon request and after review.
Physical requirements
The position requires the ability to work a minimum number of hours per week in the office and/or in the field. The employee must be able to see, hear, and project their voice without amplification. Frequent standing, sitting, walking, repetitive hand and finger movements, reaching, and use of both hands and arms are expected. Occasional lifting and carrying of up to 30 pounds, along with bending, kneeling, crouching, crawling, and climbing stairs, may also be required. The job calls for sustained energy, the ability to manage stressful situations daily, and may involve independent driving and travel in varying weather conditions.

- Ability to use a personal computer, calculator, agency automation system, and common software tools, including the Microsoft Office suite.
- Successful completion of pre-employment assessments is required.
- A satisfactory driving record must be maintained.
- The candidate may be asked to complete drug and/or alcohol screening.
- A civil and criminal background check will be completed at the company’s expense.
- Regular and/or mandatory company meetings require physical attendance.
