This opportunity is being shared for a partner employer, which will handle applications and all follow-up steps. The hiring company is seeking a Canada-based Virtual Administrative Assistant to support daily operations in a remote setting.
The role is central to keeping administrative, coordination, and communication work moving smoothly in a fast-paced virtual environment. You will support leaders and internal teams by organizing schedules, preparing documents, coordinating workflows, and handling routine administrative tasks with accuracy and discretion. The position suits someone who works proactively, stays organized under pressure, and can manage several priorities without close supervision. You will collaborate remotely with different teams and outside contacts, helping improve operational efficiency and maintain strong administrative standards.
Accountabilities
- Deliver senior-level administrative assistance such as research, report creation, memo drafting, and handling correspondence
- Organize calendars, appointments, meetings, conference calls, and scheduling details using Google Workspace
- Arrange internal and external meetings, including agendas, slide decks, and other supporting documents
- Support special assignments and initiatives, making sure tasks are completed on time and followed through properly
- Keep digital files structured and up to date while protecting accuracy, easy access, and confidentiality
- Communicate professionally and promptly with clients, partners, and internal colleagues by email and phone
- Track office and digital operating tools and liaise with vendors or support contacts when needed
- Contribute to process improvements by spotting inefficiencies and suggesting better workflow methods
- Assist with light accounting and basic financial tracking tasks when required
- Handle sensitive organizational information with a high level of confidentiality
Requirements
- A college diploma is required, while a bachelor’s degree in Business Administration or a related discipline is preferred
- At least 5 years of experience in a virtual administrative or office support position
- Strong English communication skills, both written and spoken; fluency in English and French is considered an asset
- Excellent organizational ability, strong attention to detail, and the capacity to manage multiple tasks at once
- Comfort using Microsoft Office and Google Workspace applications
- Exposure to QuickBooks or other basic accounting support work is beneficial
- Solid skills in data entry, documentation, and analysis
- Ability to manage confidential information with care and discretion
- Good time management skills, including prioritizing work and meeting deadlines
- A self-starting mindset with practical judgment, problem-solving ability, and flexibility
