Role overview
We are hiring a highly organised, proactive Operations Manager to lead day-to-day coordination across the wider business portfolio, including SupportRoom and VAI. This is a hands-on leadership role focused on execution, structure, and operational consistency across multiple business units.
You will oversee a small team and take ownership of operations spanning hiring coordination, onboarding, contracts, access management, subscriptions, sales operations, finance administration, task tracking, materials delivery, and collaboration across departments. You will serve as the main operational point of contact, working closely with leadership and teams across Sales, Marketing, Product, Technology, Customer Success, and Finance to keep priorities moving efficiently.

What you'll do
- Keep operations running smoothly across all business units and ensure leadership priorities are executed.
- Coordinate work across SupportRoom and VAI while identifying and removing operational roadblocks.
- Lead the operations team by assigning work, setting priorities, reviewing progress, and maintaining accountability.
- Run weekly planning and review meetings and make sure workloads remain balanced.
- Manage task systems such as ClickUp and maintain accurate tracking, dashboards, and reporting.
- Follow up on overdue actions, deliverables, risks, and blockers.
- Handle recruitment administration, hiring logistics, employee and contractor contracts, and onboarding coordination.
- Arrange system access, tool setup, and onboarding materials so new joiners become productive quickly.
- Manage software subscriptions, licenses, renewals, and access across the organisation.
- Monitor sales activity, pipeline progress, booked meetings, and opportunity movement.
- Maintain CRM accuracy in HubSpot and support sales execution and follow-up processes.
- Track expenses, subscriptions, payments, invoices, and financial administration tasks.
- Support budgeting visibility, record-keeping, compliance, and documentation accuracy.
- Work with cross-functional teams to keep priorities aligned and convert strategy into action.
- Support marketing execution coordination across the business portfolio.
- Create and maintain SOPs, improve workflows, and identify opportunities for automation and standardisation.
- Support internal operations such as leave tracking, calendars, policies, communication, and team engagement.
- Produce weekly and monthly reports on KPIs, execution, onboarding, delivery, sales, and operational performance.
- Share insights with leadership and recommend improvements based on performance data.
Requirements
- At least 3 years of experience in Operations, Business Operations, or Project Management.
- Prior experience supervising or managing a team.
- Strong working knowledge of ClickUp, HubSpot, Jira, and similar platforms.
- Excellent organisation, execution, and delegation skills.
- Ability to manage work across multiple departments at the same time.
- Strong written and spoken English communication.
- Solid reporting, administrative, and documentation skills.
- High attention to detail and a strong sense of accountability.
- Comfortable working in a fast-moving startup environment.
- Preferred background in SaaS, AI, HRTech, HealthTech, or technology companies.
- Experience with group-level or multi-entity operations is an advantage.
- Exposure to sales, marketing, delivery, onboarding, recruitment operations, and HR processes is preferred.
- Experience improving processes, introducing automation, and working with remote international teams is preferred.
Compensation and success measures
Compensation will be decided based on experience and interview performance, and includes wellbeing benefits.
The role will be measured by operational task completion, onboarding completion timelines, reporting accuracy, reduced bottlenecks, execution consistency, team productivity, cross-department alignment, and internal response times.
