About the role
This remote position is for a highly organized and proactive Executive & Operations Assistant who can support executive priorities, daily operations, and the overall member experience. The role extends well beyond managing calendars; it involves acting as a dependable operational partner who helps coordinate communication, run projects, support premium events, strengthen internal systems, and keep back-end processes running smoothly.

Location, employment, and compensation
This is a remote role based in Colombia. The position is full-time and engaged as an independent contractor. Compensation is set at USD 1,500 to USD 2,000 per month. Candidates must have advanced English proficiency at C1 level or higher, and the CV should be submitted in English.
Responsibilities
- Keep executive calendars organized, schedule meetings, and coordinate appointments.
- Manage a large volume of communication through email, Slack, and similar tools.
- Arrange meetings with founders, investors, partners, and community members.
- Support the planning and delivery of exclusive events, including logistics, suppliers, speakers, and attendee outreach.
- Maintain professional, prompt, and relationship-focused communication with key stakeholders.
- Record workflows, operating procedures, and internal reference materials.
- Organize and maintain systems such as Notion, CRM tools, and internal databases.
- Identify ways to streamline operations through better processes and automation.
- Coordinate projects, track follow-ups, and help execute multiple ongoing initiatives.
- Contribute to building scalable systems that improve both internal operations and the member journey.
- Research and apply AI-based tools and workflow automation to increase productivity.
Requirements
- At least 3 years of experience in an Executive Assistant, Operations Coordinator, Project Coordinator, or comparable role.
- Strong command of advanced English, both written and spoken.
- Excellent organization and meticulous attention to detail.
- Solid project coordination skills with the ability to manage several tasks at once.
- Comfort working with limited oversight while handling multiple priorities.
- Professional communication style and confidence when interacting with senior leaders.
- Proactive mindset with strong problem-solving ability.
- Ability to handle confidential information with a high degree of discretion.
- Readiness to work in a lively, fast-paced environment.
Preferred background
- Prior experience supporting founders, executives, or startup leadership teams.
- Familiarity with Notion, Airtable, CRM systems, or project management software.
- Exposure to automation tools such as Zapier, Make, or similar platforms.
- Hands-on experience with AI tools, AI agents, or productivity automation.
- Background in event coordination or community operations.
- Previous work in startups, venture capital, entrepreneurship, or other high-growth settings.
