Role Summary
This full-time Executive Assistant position is based in the Austin, Texas metropolitan area and follows a hybrid schedule, combining office-based work with work-from-home days. In this role, you will support senior leaders with day-to-day administrative and coordination needs, helping keep schedules, communications, travel, and documentation organized and running smoothly.
Key Responsibilities
- Manage executive calendars and arrange meetings, ensuring schedules stay organized and conflicts are minimized.
- Coordinate domestic and international travel and handle related logistics.
- Prepare professional correspondence, presentations, agendas, and meeting materials.
- Organize expense reports, monitor approvals, and maintain accurate records and supporting documentation.
- Set up internal and external meetings, then capture next steps and follow through on action items.
- Act as a communication point of contact for executives and support interactions with internal and external stakeholders.
- Handle confidential information with care and sound judgment.
- Support special projects and help improve administrative workflows and efficiency.
Qualifications
- Hands-on experience supporting executives or providing general administrative support, including calendar control, meeting coordination, and document management.
- Background in executive-level support with the ability to deal professionally with confidential matters and people at all levels of the organization.
- Experience processing expense reports and handling related tracking or budget-adjacent tasks with precision.
- Strong written and verbal communication skills for drafting emails, reports, and presentation content.
- Comfort using productivity and collaboration tools such as Microsoft Office or Google Workspace, as well as calendar and video meeting platforms, with openness to learning new systems.
- Strong organization and time-management skills, with the ability to juggle multiple priorities in a busy environment.
- A professional, dependable, and service-focused approach, along with discretion and teamwork.
- Prior experience as an Executive Assistant or in a comparable role is preferred; experience in technology, supply chain, or distribution is an advantage.
- An associate degree or bachelor’s degree in Business Administration, Communications, or a related area is preferred, though equivalent professional experience is also acceptable.
