This role is for a highly organized Executive Assistant who will provide direct support to a senior leader in a fast-moving environment. The position calls for someone who can juggle multiple priorities, keep communication and reporting organized, and help drive strategic work forward with care and precision.
Core Responsibilities
- Handle calendar management, meeting coordination, travel planning, and expense tracking for the senior leader.
- Review incoming messages and meeting requests, then organize them by urgency and importance.
- Create reports, slide decks, agendas, and meeting documents to support strategic work and stakeholder discussions.
- Monitor tasks, timelines, and follow-up items so commitments are completed on schedule.
- Help coordinate cross-functional initiatives by collecting input, tracking deadlines, and following up with stakeholders.
- Keep CRM information current in HubSpot.
- Write and refine professional emails, stakeholder updates, and other business communications.
- Assist with meeting preparation and post-meeting follow-through to close out outstanding actions.
What the Role Requires
- 3 to 5 years of administrative support experience, or 1 to 2 years supporting executives, ideally in consulting, financial services, or another demanding professional setting.
- A post-secondary diploma in business, office administration, or a closely related field is preferred.
- Prior experience supporting more than one stakeholder or client in a professional services environment is an advantage.
- Strong command of Microsoft Office tools, including PowerPoint, Excel, Outlook, and Teams.
- Experience with CRM platforms; HubSpot experience is a plus.
- Excellent written and verbal communication skills, along with strong accuracy and follow-through.
- Comfort handling sensitive information with a high level of discretion.

Compensation and Benefits
- Base pay between CA$65,000 and CA$85,000 per year.
