Role Summary

The Document Control Expeditor will oversee dispatch paperwork and make sure all delivery records are collected, checked, and uploaded within the required KPI timelines. The role works closely with operations teams, transport partners, loading locations, and management to strengthen compliance, resolve issues early, and improve performance through active monitoring and exception handling.

Responsibilities

  • Track dispatch documentation against KPI deadlines and classify cases as within KPI, exception, or major exception.
  • Collect, verify, and upload proof of delivery and related documents into the internal system within the required timeframe.
  • Flag delayed cases and escalate them according to SOP timelines, including the 24-hour, 72-hour, and major exception process.
  • Coordinate with loading sites, field teams, transporters, and third-party facilities to follow up on missing paperwork.
  • Keep exception registers updated and ensure follow-up actions are completed.
  • Assist Controllers and Operations Managers when major exceptions arise.
  • Prepare weekly exception reports and identify loading points with recurring non-compliance.
  • Ensure client communication remains professional and is only initiated after internal escalation steps have been completed.
  • Work with management on accountability actions related to performance issues and repeated delays.

Requirements

  • A bachelor’s degree in Business Administration, Logistics, Supply Chain, or a related discipline.
  • Between 2 and 4 years of experience in logistics documentation or operations support.
  • Prior exposure to customs processes and transport documentation is preferred.
  • Good working knowledge of MS Office, especially Word, plus Salesforce or a comparable reporting/data-entry tool.
