Role overview
Arcadia Shipping Pte Ltd is looking for a Crewing Executive to support the end-to-end coordination of crew planning and placement across its fleet. The role covers daily crewing operations, crew movement logistics, documentation, compliance, and communication with internal and external stakeholders to keep vessel staffing running smoothly.
Key responsibilities
- Plan, organise, and coordinate crew recruitment, assignment, and deployment for vessels in the fleet.
- Manage the day-to-day activities of the crewing function.
- Work with vessel owners, managers, and other stakeholders to satisfy manpower and crewing needs.
- Apply and uphold crewing policies and procedures in line with maritime rules and standards.
- Arrange crew schedules, travel bookings, and the mobilization and demobilization of crew members.
- Track crew welfare, respond to concerns, and ensure access to the support they need.
- Keep steady communication with crew, vessel masters, and other relevant parties; prepare crew-related reports and handle queries and concerns.
- Support the resolution of crew issues and disputes to maintain efficient operations and positive working relationships.
- Maintain strong working relationships with crew agencies, charterers, and other stakeholders.
- Coordinate travel arrangements for crewing staff, including air tickets and hotel accommodation.
- Confirm that candidates have the required medical clearances, competency certificates, and qualification documents.
- Assist with preparing crewing budgets for newly taken-over vessels and follow through on crewing-related matters.
- Maintain an organised, easy-to-use filing and document control system for department records.
- Prepare crew payroll and help ensure wages are processed accurately and on time.
- Source and screen qualified crew, manage selection activities, and verify that documentation and credentials are complete.
- Handle additional crewing issues and conflict resolution as needed to support smooth operations.
Requirements
- A degree in any discipline, with at least 3 years of relevant experience in a similar role, ideally within the maritime sector.
- A bachelor’s degree in Maritime Studies or a related subject is an advantage.
- Good understanding of international maritime regulations and standards.
- Experience with crewing management systems such as Shipmate is a plus.
- Self-driven, organised, and able to take initiative.
- Comfortable handling multiple priorities and working independently.
