Role overview

The Procurement Executive will support purchasing activities for the company’s Air-Conditioning and Mechanical Ventilation (ACMV) and Facilities Management services operations. The role focuses on sourcing, buying, and ensuring the smooth delivery of materials, equipment, and services in line with operational needs, project requirements, internal procedures, and applicable regulatory standards.

This position partners with project managers, engineers, facilities personnel, finance, vendors, and other internal teams to help secure cost-effective procurement outcomes and keep buying processes running efficiently.

Key responsibilities

  • Obtain quotes from approved suppliers and vendors for ACMV and Facilities Management requirements.
  • Assess quotations using price, quality, technical fit, and delivery timelines as the main criteria.
  • Draft and issue purchase orders while checking that pricing, quantities, and terms are correct.
  • Work with project managers, engineers, and facilities teams to confirm material and service needs.
  • Track delivery timelines so supplies and services reach sites on schedule.
  • Follow up with suppliers on order acknowledgements, shipment progress, and any mismatches or issues.
  • Assist with procurement of ACMV equipment, replacement parts, maintenance supplies, and outsourced services.
  • Keep procurement files and records organised and aligned with company processes.
  • Support supplier assessment, onboarding, and performance review activities.
  • Help with cost comparisons, budget monitoring, and procurement-related reports.
  • Ensure all purchasing activity follows company policies, contractual commitments, and relevant regulations.
  • Coordinate with Finance on invoice checks and payment-related matters.
  • Observe workplace safety requirements and internal policy expectations.

Requirements

Applicants should hold a Diploma or Degree in Business Administration, Supply Chain Management, Procurement, Engineering, or a related discipline.

The role calls for 2 to 5 years of relevant experience in procurement or purchasing. Prior exposure to ACMV, engineering, building services, or Facilities Management settings will be an added advantage.

Strong knowledge of procurement workflows and vendor management is expected, along with good Microsoft Office skills. Experience with ERP systems would be beneficial.
