Role overview
The HR Coordinator will support a range of human resources operations, policies, and administrative processes, with a main emphasis on managing the H2a program at King Ranch. This position plays a hands-on role in recruitment support, onboarding, employee records, compliance, reporting, and day-to-day HR coordination within a corporate environment.
Key responsibilities
- Oversee the H2a program, including contracts, employee records, visa-related coordination, and related administration.
- Travel when needed to train H2a employees and provide updates before they arrive in the United States.
- Work with the H2a organization and internal management to coordinate worker arrivals and departures.
- Support recruiting activities and new hire processing for different divisions.
- Ensure onboarding paperwork is completed for H2a employees and assist locations with the onboarding process.
- Help confirm that employment forms, workplace practices, and postings follow applicable state and federal labor laws.
- Track and update Social Security numbers when required for H2a employees and maintain approved driver’s license records.
- Keep current knowledge of HR policies, programs, laws, and related matters, and help integrate them into daily HR operations.
- Assist in preparing H2a contracts for employees.
- Serve as the main coordinator for standard operating procedures related to the H2a program.
- Help prepare HR communications and coordinate departmental messaging.
- Support annual training activities and employee survey coordination.
- Answer common questions about HR forms, records, policies, systems, and procedures.
- Prepare reports for managers and send reminders about overdue certifications such as first aid and driver’s license renewals.
- Complete various verification requests, including food stamp wage checks and mortgage employment confirmations.
- Maintain and update the central electronic employee filing system while protecting confidential and restricted information.
- Retrieve documents and records as needed.
- Stay visible and responsive to employees, addressing questions or concerns promptly and professionally.
- Audit employee data and ensure HRIS records are entered accurately and meet compliance requirements.
- Carry out additional tasks as assigned.
Requirements
- Spanish fluency is mandatory.
- A bachelor’s degree in business administration, human resources, or equivalent corporate HR experience is required.
- Experience creating and delivering presentations, along with handling documentation management and control.
- Strong organizational ability and close attention to detail.
- Ability to collaborate effectively and build strong working relationships with HR colleagues and managers.
- Comfort handling multiple priorities at once with flexibility and strong multitasking skills.
- Excellent verbal and written communication and interpersonal skills.
- Strong discretion, professionalism, and the ability to protect confidential information.
- A team-oriented mindset.
- Proficiency with Microsoft Office.
- Proven problem-solving, reasoning, and negotiation abilities.
- Professional appearance and demeanor.
