Job Summary
The Front Office Receptionist supports patient check-in and front-desk operations by handling registration accurately and promptly through medical systems. The role also includes verifying insurance coverage using the facility’s medical necessity tools and following established policies and procedures. This position is expected to deliver excellent service to physicians, patients, family members, and other healthcare professionals.
Responsibilities
- Greet patients and visitors in person and over the phone, and respond to questions or direct them appropriately.
- Record patient arrivals in the practice management or EMR system.
- Confirm patient identity using name and date of birth, and create a new record when needed.
- Prepare the required paperwork before appointments.
- Follow up on missed appointments, update records, and send reminder or rescheduling letters when needed.
- Coordinate appointment scheduling to support patient satisfaction, provider efficiency, and room utilization.
- Assist patients in urgent situations by responding quickly and using sound judgment.
- Review patient information in the EMR, collect updates, and enter changes accurately.
- Identify payer sources, verify insurance eligibility, check financial status, and assign the correct payer type.
- Determine whether prior authorization is needed and inform the Billing Department when applicable.
- Keep the reception area tidy and well organized.
- Record and collect copays and outstanding balances during check-in and check-out.
- Protect patient privacy by safeguarding confidential personal and financial information.
- Support daily operations by following procedures and reporting changes when necessary.
- Work collaboratively to complete related tasks and support team goals.
- Deliver consistently strong customer service.
- Answer calls promptly and courteously.
- Communicate with patients, visitors, providers, and coworkers in a respectful, professional, cooperative, and mature manner.
- Perform additional duties assigned by the Practice Manager or Area Practice Manager.
Requirements
- High school diploma is required; an associate degree is preferred.
- At least 1 year of customer service experience in a healthcare office is preferred.
- Applicants must be currently authorized to work in the United States on a full-time basis.
