Role overview
This position supports senior leaders with high-level administrative coordination and helps keep daily operations running smoothly. The role involves juggling multiple priorities, paying close attention to detail, and contributing to a range of projects as an important member of the client services team. It is well suited to someone who is adaptable, quick-thinking, proactive, and flexible.

Work schedule and role details
- Shift hours: 8:00 AM to 5:00 PM CST (USA)
- Workdays: Monday to Friday (USA)
- English proficiency required: Very proficient in both written and spoken communication
- Salary: PHP 48,500
Key responsibilities
- Manage executive calendars by arranging meetings, appointments, and events.
- Coordinate meetings by preparing schedules, agendas, and minutes, and by tracking follow-through on action items and deadlines.
- Organize travel plans such as flights, accommodations, and ground transport for executives and, when needed, for clients or partners.
- Maintain, organize, and safeguard documents, files, and records, while also preparing materials for presentations and reports.
- Provide project assistance by collecting information, supporting reports or presentations, and helping monitor timelines and task completion.
- Support positive working relationships with clients, partners, and other important stakeholders.
- Handle general office administration and other related ad hoc tasks.
Candidate profile
- A bachelor’s degree in Business Administration, Communications, or a related discipline is required.
- Applicants should have 1 to 3 years of experience as an Executive Assistant, C-suite executive assistant, or in a similar administrative support role.
- Strong verbal and written English communication skills are essential.
- Must be able to work overnight or graveyard shifts in Philippine time, or within US business hours.
- Should be proficient in Microsoft Office Suite or similar tools and able to learn new software quickly.
- Experience or exposure to project management tools is preferred.
- The right candidate will be highly organized, proactive, detail-oriented, and able to manage daily work by priority.
- Must be capable of performing well in a fast-moving and sometimes stressful environment.
