Role overview
Join the Open Banking team as an Executive Administrative Assistant in a fast-moving environment where priorities shift quickly and each day brings a different mix of responsibilities. This position is designed for someone who thrives in a high-detail setting, values precision, and enjoys supporting leaders with polished, dependable execution.
You will serve as a trusted administrative partner to managers and executive-level stakeholders across business lines. The role calls for strong teamwork, professional judgment, and the ability to represent the manager or group with tact and confidence while producing accurate, high-quality work.
What you'll do
- Manage intricate calendars and keep schedules organized across multiple priorities.
- Answer and assess incoming calls, using sound judgment to decide what needs immediate attention and what information can be shared.
- Coordinate the planning and logistics for internal and external meetings.
- Set up complex travel arrangements for domestic and international trips.
- Oversee event logistics from start to finish, including catering and transportation needs.
- Handle invoice processing and travel-and-expense claims while following internal policy and submission guidelines.
- Support onboarding and offboarding tasks, including equipment requests and system access setup.
- Draft clear, polished emails and messages for recipients at all levels of the organization.
- Keep department records up to date, including organizational charts and executive biographies.
- Work independently on recurring tasks and flag issues, delays, or concerns ahead of time.
- Edit spreadsheets and presentations, and assist with printing and binding materials for client meetings.
Required qualifications
- At least 5 years of administrative experience.
- Strong organizational ability and comfort managing multiple moving parts.
- Sound judgment and discretion when handling sensitive or confidential matters.
- Demonstrated experience working with senior leaders.
- Excellent verbal, written, and interpersonal communication skills.
- High proficiency with Microsoft Office tools.
- Professional telephone manner and the ability to balance competing priorities, especially calendar management.
Preferred background
- Prior support experience at Managing Director level or an equivalent senior level, or higher.
- A college degree is considered an advantage.
Work schedule and location
This is a five-day in-office position, Monday through Friday. Hybrid work arrangements are not supported for this role.
