Role Overview
The organization is looking for a well-organized and initiative-driven Event Coordinator to help deliver a multi-day event scheduled for May 3–6, 2026. The position combines advance planning support with active on-site leadership during the event.
Work Location and Setup
Before the event, the role will be performed in-office in El Segundo. During the event days, the role shifts to full on-site coordination in Huntington Beach.
Timeline and Time Commitment
Pre-event period (4 weeks before the event): 15–20 hours per week in the El Segundo office, supporting planning, logistics, vendor coordination, and production preparation.
Event period (May 3–7, 2026): Full on-site presence in Huntington Beach to provide coordination and leadership support.
Leadership Duties
Serve as lead for the off-site dinner on May 3, 2026.
Serve as lead for the off-site activity on May 4, 2026.
Handle the run of show, keep vendor communication on track, manage guest movement, coordinate transportation timing when needed, and help deliver smooth off-site experiences.
Core Responsibilities
Support event logistics and planning ahead of the program.
Work with vendors, venues, and partner teams to keep preparations aligned.
Help maintain production schedules and event-related documentation.
Manage guest communication and confirmation follow-ups.
Take charge of off-site event execution when assigned.
Respond quickly and professionally to on-site issues.
Provide general coordination support throughout all program days.
Required Experience and Attributes
Previous experience in event coordination, event production, or event management is required.
Strong planning, prioritization, and time-management capabilities.
Clear communication skills and the ability to manage vendors effectively.
Confidence in independently leading off-site activations.
Availability for flexible hours in the weeks before the event and throughout the event period.
Composed, solution-oriented approach when dealing with pressure or unexpected issues.
