Job summary
This role supports the IT department with daily administrative and coordination tasks. The position acts as a central liaison for internal teams, management, suppliers, and outside stakeholders, helping keep communication, scheduling, documentation, and follow-up activities running smoothly.
The objective is to ensure efficient coordination across leadership, internal departments, service providers, and vendors so that IT-related requests and deliverables are handled in a timely and organized manner.
Duration
The assignment runs for 6 months and may be extended if the work remains satisfactory.
Contracts and administration support
- Oversee IT-related contracts and help ensure all agreed terms are being followed while coordinating with both internal teams and external service providers.
- Work with resource management vendors to identify and source appropriate candidates in line with approved business needs.
- Handle NDAs, contractor records, and other required administrative files and documentation.
- Assist with vendor performance reviews and prepare supporting documentation ahead of contract renewals.
Executive and department support
- Provide day-to-day administrative assistance to department leadership, including managing calendars, arranging meetings, coordinating travel, and handling logistics.
- Organize leadership meetings, forums, workshops, and departmental review sessions.
Operational and administrative support
- Support department budgeting activities, invoice handling, purchase order processing, and expense monitoring.
- Coordinate onboarding and offboarding activities for employees and contractors within the department.
- Help with audits, compliance checks, reporting tasks, and responses to information requests.
Technical competencies
The role requires strong command of office productivity and collaboration tools, including MS Excel, Word, PowerPoint, Outlook, SharePoint, and Teams. The candidate should also be comfortable preparing formal correspondence, maintaining records, building reports, and supporting dashboards and data analysis.
A working understanding of administrative workflows, HR coordination, procurement processes, and department systems is also important. In addition, the role involves familiarity with purchase requisitions, purchase orders, invoice processing, expense tracking, and vendor coordination.
Qualifications, experience and skills
A bachelor’s degree or diploma in Business Administration, or a related discipline, is required. The preferred background includes at least 5 years of experience in administration, executive coordination, or a similar support role in a corporate or IT setting.
The right candidate should be highly organized, a strong communicator, and capable of managing relationships with different stakeholders. Accuracy, discretion, confidentiality, and the ability to handle several priorities at once are essential.
