About the Role
This position sits within the administrative support function and is focused on enabling a business leader to work efficiently. The selected person will provide senior-level administrative and operational assistance, help manage daily priorities, and support strategic work by keeping schedules, communication, and coordination running smoothly.
Key Responsibilities
- Oversee the leader’s calendar, appointments, and meeting schedule, while judging priorities carefully and protecting time effectively.
- Prepare presentations, reports, and written correspondence with a high level of accuracy and confidentiality.
- Arrange complex travel plans and itineraries, staying ahead of changing needs and adjusting logistics as required.
- Serve as the main coordination point for internal teams, board members, clients, and outside partners.
- Draft, refine, and proofread communications so they remain clear, professional, and consistent with company expectations.
- Plan and support important meetings, board sessions, and off-site events, including logistics, agendas, materials, and follow-ups.
- Maintain the smooth operation of the leader’s office by handling budgets, vendor relationships, and office resources.
- Look for ways to improve administrative processes and introduce better working practices.
- Assist with special assignments and strategic initiatives by coordinating with cross-functional teams and tracking progress.
- Handle sensitive and confidential information carefully and ensure compliance with company and regulatory requirements.
Requirements
- Typically 5+ years of experience in executive support or a senior administrative role, preferably in investment, finance, or corporate environments.
- Strong familiarity with investment business operations and terminology is an advantage.
- Excellent organization, multitasking, and attention-to-detail skills.
- Strong written and verbal communication abilities.
- Comfortable using MS Office tools such as Outlook, Word, Excel, and PowerPoint, along with virtual collaboration tools like Zoom and Teams.
- Confident interpersonal skills with the ability to work effectively across all levels of the organization and with external stakeholders.
- High standards of professionalism, integrity, and discretion.
- Ability to work independently and stay effective under pressure in a fast-paced setting.
