Role Overview
This head office reception position is the first point of contact for visitors, clients, and colleagues. The successful candidate will help create a polished and welcoming front-of-house experience while also supporting daily office administration. The role includes managing the reception desk, handling calls and written communication, organising meeting rooms, coordinating deliveries and mail, and assisting internal teams to keep the office running smoothly in a busy construction environment.
Key Duties
- Welcome guests and clients professionally and courteously.
- Handle meeting room scheduling and ensure rooms are ready and appropriately equipped.
- Place orders for stationery and other office consumables.
- Keep office facilities tidy, organised, and presentable at all times.
- Answer incoming calls and manage correspondence, including messages, emails, and query routing.
- Receive, sign for, and distribute deliveries in an orderly and timely way.
- Sort and circulate both internal and external mail.
- Organise catering for meetings and senior leadership as needed.
- Restock canteen items, including regular collection runs from designated suppliers such as Musgraves.
- Arrange courier shipments within Ireland, the UK, and other regions.
- Maintain visitor records and issue visitor passes when required.
- Provide general administrative support such as scanning and photocopying.
- Assist different departments with clerical tasks when required.
- Ensure the reception area always reflects a clean, professional, and organised standard.
Candidate Profile
The ideal candidate will have prior experience in reception, front-of-house, or office administration within a professional setting. They should be confident dealing with people at all levels, highly organised, comfortable working under pressure, and capable of handling multiple tasks efficiently. Strong IT skills, discretion, flexibility, and a proactive attitude are essential.
