The Melbourne Hub is seeking an experienced and enthusiastic Project Coordinator to support a varied portfolio of projects and high-profile clients. In this consulting role, you will help keep delivery on track by coordinating activities, supporting governance, and ensuring alignment across project teams and stakeholders.
Working alongside MP Consultants, Project Managers, Business Analysts, technical specialists, and business stakeholders, you will contribute to planning, execution, reporting, governance, and continuous improvement across multiple workstreams. Strong organisation, analysis, and communication skills will be key to your success.
Key duties
- Help organise project activities so milestones and deliverables are met on time.
- Support Project Managers with planning, scheduling, and everyday project administration.
- Arrange meetings and workshops, prepare agendas, capture minutes, and track follow-up actions.
- Keep project records current, including plans, RAID logs, action registers, and status reports.
- Track progress and flag risks, issues, or timeline impacts to the project team.
- Assist with reporting by preparing status updates, dashboards, and meeting packs.
- Contribute to Agile delivery by taking part in sprint ceremonies and helping maintain backlogs and delivery artefacts.
- Support the capture, documentation, and validation of business requirements, user stories, and process materials.
- Work with business and technical stakeholders to keep communication clear and ensure actions are resolved promptly.
- Help maintain governance standards by keeping project artefacts accurate, current, and compliant with requirements.
- Assist with change requests, resource coordination, and other project support tasks as needed.
- Look for ways to improve project coordination and delivery processes.
What the role involves
As an MP Consultant, you will be expected to bring expertise, adapt quickly to different industries and environments, and collaborate effectively with internal and external teams. You will represent the MP brand at client sites and demonstrate the organisation’s values of Team Spirit, Commitment, and Excellence. The role also requires you to draw on your project and program management knowledge, along with MP’s tools and preparation, to support client outcomes.
Candidate profile
The ideal applicant holds at least a bachelor’s degree in Engineering, Business, Information Technology, Project Management, or a closely related field. You should have 3 to 6 years of experience supporting complex projects or programs in a Project Coordinator, PMO, Business Analyst, or Agile delivery role within large and complex organisations.
Relevant experience includes project governance, project coordination, requirements gathering and documentation, Agile ceremony facilitation, and upkeep of project documentation. You should be comfortable handling RAID logs, action registers, project schedules, reporting, and stakeholder communication across both Agile and Waterfall environments.
Familiarity with project management and collaboration tools such as Microsoft Project, Jira, Confluence, Azure DevOps, or similar platforms is an advantage.
Strong communication, stakeholder management, organisation, attention to detail, and problem-solving skills are essential. You should be proactive, adaptable, collaborative, and able to perform well in fast-moving project settings. The role also calls for confidence in dealing with both business and technical stakeholders and the ability to adjust quickly to new industries and delivery models.
