Role overview
As a Patient Services Administrator, you will be central to creating a positive experience for patients while keeping clinic operations running efficiently. The role brings together front-desk service, appointment coordination, patient communication, and day-to-day administrative support. You will work closely with patients, clinicians, and other team members to help ensure a smooth, caring, and well-organised journey through the clinic.
Key responsibilities
- Serve as the friendly, professional first contact for patients, both face to face and through phone or email
- Arrange, confirm, and manage appointments for patients and clinicians
- Keep patient information up to date and accurately entered in clinical systems
- Handle payments, billing tasks, and related administrative paperwork
- Support patient movement through the clinic and assist clinical staff where needed
- Answer questions and enquiries in a considerate, clear, and professional manner
- Follow privacy requirements, confidentiality standards, and clinic procedures at all times
- Help maintain a cooperative and respectful team culture
What we are looking for
The ideal candidate will bring prior experience in a medical reception or healthcare administration setting, along with strong communication skills and a caring, patient-focused approach. You should be highly organised, accurate with data, comfortable working in a busy environment, and able to manage confidential information responsibly. Confidence with Microsoft Office and patient management software is also important, as is a proactive attitude and a willingness to contribute positively to a team that is committed to quality care.
