About the role
An expanding executive team is looking for a highly organized, detail-driven, and proactive Executive & Operations Assistant to help keep daily operations, executive priorities, and the member experience running smoothly.
The position extends well beyond basic calendar support. You will act as an operational partner, coordinating communications, managing projects, supporting premium events, improving internal workflows, and helping ensure backend operations stay efficient and well structured.
If you work well in fast-moving environments, like building order from complexity, and are comfortable solving problems on your own, this role offers the chance to work closely with influential founders, investors, and business leaders.
Location and work style
This is a remote, telecommute-based role.
Compensation
The monthly pay range for this independent contractor position is USD 1,500 to USD 2,000.
Language requirement
Advanced English proficiency at C1 level or above is required. Applicants must submit their CV in English.
Key responsibilities
- Oversee executive schedules, appointment planning, and meeting setup.
- Manage a high volume of communication through email, Slack, and similar collaboration tools.
- Arrange meetings with founders, investors, partners, and community participants.
- Support the planning and delivery of exclusive events, including coordination of logistics, vendors, speakers, and attendee communication.
- Build and maintain strong professional relationships through timely and polished communication.
- Record workflows, operating procedures, and internal reference guides.
- Keep systems such as Notion, CRM tools, and internal databases organized and up to date.
- Look for ways to streamline operations by improving processes and introducing automation where useful.
- Assist with project tracking, follow-ups, and execution across multiple workstreams.
- Help create scalable systems that strengthen both member experience and internal operations.
- Use AI tools and automation workflows to boost productivity wherever possible.
Required qualifications
- At least 3 years of experience in an Executive Assistant, Operations Coordinator, Project Coordinator, or comparable role.
- Strong written and spoken English communication skills at an advanced level.
- Excellent organization and a very strong eye for detail.
- Proven ability to coordinate projects and manage multiple tasks at once.
- Comfort working across several priorities with limited supervision.
- Confident, professional communication when engaging with senior leaders.
- A proactive, solutions-oriented mindset with strong problem-solving ability.
- High discretion and sound judgment when dealing with sensitive or confidential information.
- Ability to perform well in a dynamic, fast-paced setting.
Preferred experience
- Background supporting founders, executives, or startup leadership teams.
- Hands-on familiarity with Notion, Airtable, CRM systems, or project management software.
- Experience using workflow automation tools such as Zapier, Make, or similar platforms.
- Exposure to AI tools, AI agents, or productivity automation solutions.
- Experience in event planning or community operations.
- Prior work in startups, venture capital, entrepreneurship, or other high-growth environments.
