Role Overview
This position supports the Head of Virality and sits at the center of creative strategy, operations, and executive partnership. The role is designed to create the structure and coordination needed for a fast-moving creative leader to stay focused on trend spotting, idea development, and high-impact decision-making.
Success in this role is not about simply keeping a calendar organized. It is about safeguarding executive attention, reducing operational friction, and creating the space needed for strategic thinking and rapid execution. The executive assistant will act as a reliable extension of leadership, handling complexity, staying ahead of needs, and helping maintain momentum across the organization.
Working Style
Every day will look different, with priorities that can shift quickly and new opportunities arising without warning. The role involves close coordination with teams across Creative, Production, Marketing, Partnerships, and Operations. Domestic travel, along with occasional international travel, will be required to support meetings, events, productions, offsites, and business initiatives.

Key Responsibilities
- Build and maintain a highly adaptive executive calendar that balances strategic planning, creative work, leadership meetings, travel, and protected focus time.
- Act as the main contact for internal and external stakeholders, making sure requests are prioritized and routed correctly.
- Arrange domestic and international travel, executive meetings, and event logistics with close attention to detail.
- Prepare agendas, briefing notes, and meeting materials so the executive can make decisions efficiently.
- Track action items and commitments after meetings and work with stakeholders to keep projects moving.
- Identify conflicts, operational risks, and shifting priorities early enough to prevent disruption.
- Manage confidential information with discretion and professionalism.
- Assist with special projects and operational work that supports the Head of Virality and the wider leadership team.
- Travel as required for important meetings, productions, offsites, and business events.
Requirements
- 4 to 6 years of experience supporting senior executives in fast-paced, high-growth environments.
- Background managing highly changeable calendars with frequent priority shifts.
- Strong organizational ability and a proactive approach to anticipating needs.
- Excellent written and spoken communication skills, with the confidence to represent executive leadership professionally.
- Sound judgment, discretion, and the ability to make independent decisions thoughtfully.
- Comfort working in an environment where priorities change quickly and adaptability is essential.
- Willingness and ability to travel as business needs require.
Preferred Background
- Experience supporting C-level or other executive leaders.

Compensation and Benefits
The total target compensation for this role is between $115,500 and $170,500 annually. This includes a fixed salary of $105,000 to $155,000 per year, a discretionary annual cash bonus, an employee equity grant, and comprehensive benefits.
