Role Overview
We are looking for a seasoned Executive Assistant to support senior leadership in a fast-paced, highly confidential environment. This role centers on keeping executive priorities organized, communications flowing, and critical meetings and projects moving smoothly.
Executive Operations
- Handle complex calendars for the CEO and CFO, resolving overlaps early, protecting focus time, and planning ahead for scheduling needs.
- Arrange end-to-end travel, including flights, local transportation, hotels, and backup plans for investor meetings, off-sites, and conferences.
- Sort, prioritize, and draft messages on behalf of leadership, mirroring their tone and standards so only light editing is needed before sending.
- Build pre-meeting briefings, gather background context, and capture action items after meetings so leadership is always prepared and informed.
Board & Investor Support
- Coordinate the full process for quarterly board meetings with the PE partner administrative team, including calendar alignment, materials preparation, logistics, and follow-up tracking.
- Compile, format, and circulate board packets while maintaining version accuracy and meeting deadlines.
- Work with highly sensitive materials such as pre-close M&A data, compensation topics, board-only communication, and similar confidential information with strict discretion.
Strategic & Organizational Support
- Support cross-functional initiatives and leadership commitments by tracking deadlines, driving follow-through, and making sure important items are not missed.
- Serve as a coordination point for outside counsel, auditors, and other advisors for scheduling, document collection, and general support.
- Assist with the logistics for leadership off-sites and company-wide communications.
- Research, synthesize, and summarize information as needed to help leadership make decisions.
- Design and improve systems and workflows that make executive operations more efficient and less friction-filled.
Required Experience
- At least 7 years of experience supporting C-suite leaders, ideally both a CEO and CFO at the same time.
- Prior exposure to board meeting coordination is required.
- Experience in private equity, investment banking, or financial services is strongly preferred.
- Comfort working across distributed teams and multiple time zones is expected.

This position is based in Boca Raton, FL and is an onsite full-time role.
