Role summary
The Events & Experiences Coordinator will help deliver BlinkRx’s portfolio of biopharma trade shows, provider conferences, and executive programs hosted by BlinkRx. Reporting to the Senior Manager, Events & Experiences, this person will be a key operator behind the scenes, handling event logistics, travel coordination, attendee support, and pre- and post-event execution.
This position suits someone who is highly organized, proactive, and comfortable in a fast-changing live-events environment. The role is remote, with a preference for candidates in the Eastern or Central time zone, and requires roughly 20% to 30% travel for on-site event support. Occasional evenings and weekends are part of the job.
Event execution and on-site support
- Act as the on-site logistics lead for priority BlinkRx events, including biopharma trade shows such as Asembia and JPM Healthcare, provider conferences such as Vision Expo, and BlinkRx-run executive programs.
- Oversee day-of coordination across staffing, booth assembly, audiovisual needs, signage, and attendee movement so events run smoothly.
- Serve as the main contact for vendors and venue teams during events and resolve issues quickly as they arise.
Travel and attendee logistics
- Arrange hotel blocks, room allocations, and travel plans for BlinkRx staff attending major conferences.
- Manage rooming lists and reservations while handling late changes and shifting priorities.
- Create and keep updated logistics trackers, event run-of-show documents, and attendee briefing materials before each event.
Pre-event planning support
- Support the Senior Manager with venue research, vendor communication, and production timelines for event materials.
- Track milestones and surface risks early so deliverables stay on schedule.
- Help coordinate booth design, swag and collateral purchases, and shipping arrangements.
- Keep event records organized, including contracts, vendor information, shipping documentation, and post-event notes.
Post-event operations
- Handle inventory checks and return of event materials after each program.
- Gather attendance, spend, and logistics notes to help inform post-event analysis.
- Look for repeated issues in event execution and recommend process improvements for future programs.
Qualifications
- 2 to 4 years of experience in event coordination, marketing operations, or a related role; healthcare or pharma experience is helpful but not mandatory.
- Proven ability to manage several logistics workstreams at once while maintaining accuracy and follow-through.
- Strong communication skills and the ability to coordinate smoothly with vendors, venues, and internal stakeholders.
- Comfort with ambiguity and a fast-moving schedule, with the ability to adapt calmly as plans shift.
- Working knowledge of project management and coordination tools such as Google Workspace, Asana or similar platforms, and Excel or Sheets.
- Availability to travel 20% to 30% and support event execution on evenings and weekends when needed.
Preferred qualifications
- Experience managing hotel blocks, group travel, or attendee registration systems.
- Background supporting executive-level events or programs.
- Familiarity with event operations platforms such as Cvent or Splash.
