Role overview
The Technical Engineering Clerk supports the Department Head with day-to-day administrative and clerical work so the office runs smoothly. This position focuses on organizing records, coordinating schedules, preparing documents, and completing routine administrative transactions accurately and on time. Strong organizational ability, solid communication skills, computer proficiency, and a mandatory command of English are essential for success in this role.
Key duties
- Deliver administrative and clerical assistance to the Department Head.
- Track attendance and time records, manage filing, and maintain employee documentation.
- Handle leave applications, reimbursement claims, vendor payments, gate passes, and similar administrative processes.
- Draft reports, business letters, meeting notes, and regular correspondence.
- Coordinate calendars, organize meetings and appointments, and arrange travel when needed.
- Respond to phone calls, visitors, email communication, and other incoming correspondence.
- Review, revise, and format documents according to need.
- Oversee office stationery, equipment, and administrative workflows.
- Act as a communication link between the Department Head, internal teams, and outside contacts.
- Carry out additional administrative responsibilities assigned by the Department Head.
Requirements
- A diploma in Business Administration, Office Administration, Secretarial Studies, Accounting, Management Information Systems (MIS), or Marketing.
- Between 5 and 8 years of experience in administrative or clerical work.
- English language proficiency is compulsory.
- Working knowledge of Microsoft Office tools.
- Strong planning, organization, and time management capabilities.
- Good verbal and written communication, along with strong interpersonal skills.
- Ability to maintain confidentiality and manage several tasks efficiently at once.
- Capability in document handling and administrative coordination.
