Role Summary

The Operations Assistant will help keep day-to-day school operations running smoothly by supporting administrative processes, policy rollout, operational documentation, logistics coordination, and safety compliance. The position works closely with the Operations Manager and other teams to maintain an efficient and well-organised school environment.

Key Responsibilities

  • Help prepare, check, and refresh operational reports, records, and documents.
  • Provide day-to-day support to the Operations Manager on operational tasks and campus facilities coordination.
  • Work with different departments to improve operational flow and ensure compliance, including trip planning, procurement support, and coordination with academic staff.
  • Keep operational records current, accurate, and properly organised.
  • Carry out regular checks of facilities, including cleanliness, maintenance, repairs, and building systems such as HVAC, electrical, plumbing, and mechanical equipment.
  • Track the performance of external contractors and trades to make sure work meets contract requirements and safety expectations.
  • Help maintain a strong health and safety culture in line with local fire, health, and accessibility rules, while working with the Health & Safety Coordinator.
  • Assist with inventory control, invoice review, and the purchase of equipment and supplies.
  • Support renovation work, space planning, and staff relocation projects when needed.

Requirements

  • A bachelor’s degree or diploma in Business Administration, Operations Management, or a closely related subject.
  • Ideally 1 to 3 years of experience in administration or operations support.
  • Strong working knowledge of Microsoft Office tools, including Excel, Word, PowerPoint, and Outlook.
  • Experience using ERP, CRM, or other operational systems would be an advantage.
  • Previous exposure to international or multicultural workplaces is desirable.
  • Experience in school operations, facilities management, or a similar environment is preferred.
  • Understanding of health and safety standards relevant to educational institutions.
  • Familiarity with policy creation, SOP drafting, and document preparation.
