Role Summary
The Executive Personal Assistant will provide broad administrative as well as personal support to senior leadership. This includes managing calendars, arranging meetings, coordinating travel, and overseeing logistics for both business-related and private commitments. The position also covers correspondence management, document and presentation preparation, confidential recordkeeping, and assistance with everyday office operations. In addition, the role requires close coordination with internal staff, outside partners, and clients, along with prompt follow-up on priorities and help in improving workflow efficiency. Because the agency serves clients and partners across time zones, some work outside regular business hours may occasionally be needed.
Key Duties
- Maintain executive calendars, arrange appointments, and organize meetings with strong attention to timing and priorities.
- Coordinate travel plans and handle logistics for both professional and personal engagements.
- Support day-to-day personal needs, errands, and related tasks while using sound judgment and discretion.
- Draft, manage, and route correspondence, documents, and presentations as needed.
- Keep sensitive files and records organized and confidential.
- Assist with general office administration and routine operational tasks.
- Communicate with internal teams, external stakeholders, and clients to keep projects and requests moving forward.
- Track action items, follow up on pending priorities, and help streamline executive workflows.
- Be available for occasional support beyond standard working hours when business needs require it.
Qualifications
The ideal candidate should bring a strong background in executive and personal assistance, along with the ability to juggle competing priorities in a calm, reliable, and confidential manner. Clear written and verbal communication is important, as the role involves regular interaction with high-profile clients and business partners. Strong scheduling and diary coordination experience, solid clerical capability, and a highly organized work style are essential. Comfort with common office software is expected, and familiarity with task or project management tools is a plus. Experience in sports, entertainment, or another client-focused environment would be advantageous. An associate’s or bachelor’s degree in business, communications, or a related discipline is preferred, though equivalent professional experience is also acceptable.
