About the Role
A well-established commercial real estate company is looking for an Executive Assistant who is organized, proactive, and focused on service. In this position, you will act as a reliable partner to the executive team, delivering senior-level administrative, operational, and strategic support in a busy and demanding environment. The role is essential to helping the executive stay effective by handling priorities, coordinating communication, and keeping daily work moving smoothly.
Key Responsibilities
- Deliver daily administrative support and work collaboratively as part of the team supporting the executive.
- Manage a complex calendar, scheduling meetings, calls, and appointments while adjusting for changing priorities and competing demands.
- Arrange travel plans, including schedules, logistics, and meeting agendas for executive and leadership-related travel.
- Prepare, review, and handle confidential correspondence with professionalism and discretion.
- Create and refine presentations, reports, agreements, and briefing materials, maintaining accuracy, speed, and a high-quality standard.
- Track and process executive expenses and invoices in line with internal procedures and timelines.
- Support the coordination of golf tournaments, sponsorship activities, charity events, and networking functions.
- Help organize recurring leadership and team meetings, including materials, attendance, and follow-up notes or action items.
- Sort incoming communications and requests, prioritizing what needs attention first.
- Safeguard confidential records, files, and sensitive information with a high level of care.
- Prepare documents and manage both digital and physical filing systems.
- Provide additional administrative and project assistance as business needs change.
Candidate Profile
- At least 4 years of experience in corporate administration supporting senior executives.
- Post-secondary education is preferred.
- Excellent communication and people skills, along with a polished professional presence.
- Strong organization and time-management abilities with the capacity to juggle several priorities at once.
- Proven ability to manage highly sensitive information with good judgment and confidentiality.
- Advanced knowledge of Microsoft Office Suite and other business software.
- High attention to detail and a strong commitment to excellent service.
- Self-directed, resourceful, and able to anticipate needs before they are raised.
- Flexible team player willing to take on a broad range of tasks.
Work Schedule
This is a full-time, in-office position based in North York, Ontario. Standard working hours are Monday to Friday, 8:30 a.m. to 5:00 p.m.
