The Singapore entity, BEUMER Group Singapore Pte. Ltd., is based at Singapore Changi International Airport and employs more than 200 people across Airport Systems, Logistics, and Customer Support.
Role Overview
The Executive Assistant will provide senior-level administrative, organisational, and strategic support to the CEO and management team. The position blends traditional executive assistance with project coordination, business communication, and strategic support responsibilities. The role is a central link between leadership and internal teams, helping ensure strategic and operational priorities move forward smoothly.
Key Responsibilities
- Support the CEO with calendar management, meeting scheduling, and travel coordination.
- Plan and organise leadership and steering meetings, including agendas, logistics, equipment preparation, note-taking, and follow-up tracking.
- Draft, review, and maintain reports, presentations, and other documentation to a high standard.
- Act as a trusted contact for visitors, clients, and partners while handling sensitive information with strict confidentiality.
- Assist the CEO with strategic and operational initiatives, stepping into project coordination or project management duties when needed.
- Help drive strategy execution by managing timelines, risks, and dependencies across business functions.
- Develop decision-support materials, business analyses, and data models for leadership and committees.
- Create content for internal and external communication, including leadership presentations.
- Ensure effective communication between the CEO office and stakeholders across departments regarding decisions, actions, and deadlines.
- Coordinate executive events, town halls, and workshops for the Singapore entity.
Qualifications
- A degree in Business, Communications, Engineering, or a related discipline is preferred.
- Typically 3 to 7+ years of experience as an Executive Assistant or in project/consulting roles supporting senior leadership.
- Proven ability to prepare executive-level analyses and presentations, manage demanding schedules, and deliver accurately under pressure.
- Strong administrative and organisational capabilities.
- Excellent written and spoken communication skills with the ability to work effectively with stakeholders at all levels, including global teams.
- Solid proficiency in Microsoft 365 tools such as Outlook, Teams, PowerPoint, Excel, and OneDrive.
- A proactive, open-minded, and resourceful approach with the ability to work independently and exercise good judgement.
- Strong discretion, confidentiality, attention to detail, and a commitment to high-quality work.
