Role Overview
A well-established global hedge fund is hiring a Workplace Operations Manager to run the day-to-day functioning of its New York office. This role is highly visible and partners closely with senior leaders, contributing directly to a polished and positive experience for employees, clients, and guests.
The position combines office operations, facilities coordination, vendor management, employee onboarding support, travel logistics, event execution, and administrative assistance. The selected candidate will also guide a junior team member and help improve how workplace services are delivered across the organization.
Workplace and Office Operations
- Direct daily office operations in a busy corporate setting to maintain a smooth, professional, and efficient environment.
- Coordinate with building management, facilities staff, and outside service providers.
- Arrange maintenance, repairs, office enhancements, and space-planning work.
- Keep track of office stock, supplies, equipment, and workplace-related services.
Employee Experience and Events
- Drive engagement activities and workplace programs that support employee experience.
- Organize town halls, team outings, happy hours, seasonal celebrations, and other company events.
- Oversee catering, hospitality, and office meal arrangements.
- Assist with onboarding and offboarding, including desk setup and employee move-in/move-out logistics.
Travel and Administrative Support
- Arrange domestic and international travel for employees and senior stakeholders.
- Support scheduling, conference logistics, restaurant bookings, and other administrative needs.
- Act as a contact point for visitors, clients, and external partners.
Vendor and Financial Management
- Handle vendor agreements, contracts, invoices, and service arrangements.
- Work with Finance to process invoices, monitor spending, and keep records accurate.
- Track office budgets and look for ways to improve efficiency and reduce costs.
Leadership and Process Improvement
- Supervise and support a junior office team member.
- Create and refine workplace procedures, policies, and operating best practices.
- Identify process improvements that strengthen workplace operations and employee experience.
- Contribute to special assignments and broader business initiatives as needed.
Qualifications
The ideal candidate should bring 2 to 6 years of experience in office management, workplace operations, corporate services, executive support, or a similar function. Prior exposure to vendors, facilities, office services, or workplace administration is important. The role also calls for strong organization, the ability to juggle several priorities at once, and excellent communication skills with a polished, service-oriented approach.
Experience arranging events, travel, and employee engagement activities is expected, along with solid proficiency in Microsoft Office Suite and other workplace productivity tools. Backgrounds in financial services, professional services, consulting, law, or comparable environments are a plus, though not mandatory.
