Role overview

Vital Healthcare is hiring a Warehouse Operative & Goods-In Administrator in Kilcoole, County Wicklow, Ireland. The role focuses on the accurate and prompt dispatch of medicinal products, along with control of incoming deliveries, all carried out in line with Standard Operating Procedures (SOPs) and GDP requirements.

Dispatch and warehouse duties

• Pick, pack, and send out products according to the picking dockets issued by customer services.
• Carry out and record all required checks under the Order Processing SOP, including matching product batch numbers with the picking docket and marking the docket to confirm verification.
• Confirm that delivery labels exactly match the details on the picking docket and initial the docket once this check is complete.
• Pack orders in a way that protects product integrity and reduces the risk of damage or tampering during transit.
• Keep the warehouse clean and orderly, with no litter, dust, pests, spills, or broken items, and maintain the related cleaning records.
• Work closely with customer services on order-related questions and issues.
• Prepare refrigerated shipments in accordance with the relevant SOP and validated packing arrangements.
• Assess returned cool boxes and thermal packs to determine whether they can be reused, and follow the process for replenishing and reusing cool and frozen packs.
• Escalate any temperature alarm activation to the warehouse manager and/or RP without delay.
• Communicate with DPD regarding any delivery issues that arise.
• Stay alert to possible product quality concerns at wholesale level.
• Identify, document, and report any deviation from SOPs to the RP.

Goods-in administration

• Process supplier deliveries in line with the Receipt of Goods SOP and EU GDP, making sure only ordered items in acceptable condition are moved into saleable stock.
• Report delivery discrepancies to the supplier and, where necessary, to the RP and/or Customer Services Manager.
• Record incoming deliveries in Sage against the correct purchase order.
• Ensure medicinal products are stored according to their labelled storage instructions.
• Give refrigerated items priority handling in accordance with the Cold Chain Management SOP and check that cold-chain conditions remain intact on receipt.
• Confirm that all deliveries come from approved suppliers.
• Help prevent falsified medicines from entering the distribution chain by quarantining suspicious products and informing the RP immediately.
