About the Role

The Shared Services Coordinator will manage the shared services that support the robotics venture’s day-to-day operations. This person will act as the main link between internal teams and the shared services provider, making sure requests are accurately captured, prioritized, tracked, and completed on time. The role also includes monitoring service delivery, overseeing governance, and working with stakeholders and the provider to ensure standards are met.

Key Responsibilities

• Act as the primary contact for service requests spanning HR, Finance, Procurement, and IT.
• Gather, organize, and submit requests from internal teams while confirming that all supporting details and approvals are included.
• Keep request records and tracking systems well organized to support transparency and accountability.
• Work with the shared services provider to address operational issues and escalate matters when needed.
• Follow service requests from start to finish to help ensure delivery within agreed timelines and service levels.
• Lead or support service review meetings with the provider to evaluate performance and discuss operational topics.
• Observe service performance and flag delays, service gaps, or other issues that could affect business operations.
• Set and monitor KPIs to measure service performance in a clear, measurable way.
• Create dashboards and management reports that summarize service performance status.

Requirements

• At least 5 years of experience in project management, shared services coordination, vendor management, or operational program management.
• Background in settings where operational services are delivered through centralized or outsourced models.
• Experience managing cross-functional operational requests and structured service workflows.
• Ability to work with external teams while holding them accountable for service outcomes.
• Strong organizational and communication abilities, with the capacity to handle several tasks, projects, or requests at once.
• Comfortable working in fast-moving environments that are still evolving.
• Strong analytical and problem-solving skills, especially when handling operational escalations.

Preferred Qualifications

A bachelor’s degree in Business Administration, Economics, Management, or a related discipline is preferred. Certifications related to service or project management, such as ITIL, PMP, or similar, are a plus but not mandatory. Additional training in operations or process improvement, such as Lean Six Sigma, is also considered beneficial.
