Role Overview
The Executive Assistant will deliver broad-ranging administrative support to senior leadership, helping keep schedules, meetings, travel, office operations, and special projects running smoothly in a fast-moving corporate setting.
Key Responsibilities
- Manage complex calendars, prepare meeting agendas, record minutes, proofread materials, and handle monthly travel and entertainment reporting.
- Organize travel plans, including itineraries, visa support when needed, car services, and family travel arrangements for annual home visits.
- Coordinate meetings by managing attendees, reserving rooms and timings, arranging meals, and handling audio-visual needs; familiarity with Microsoft Teams is important.
- Prepare and oversee purchase orders and related administrative tracking.
- Support office administration by replenishing supplies and maintaining the product storage area.
- Interact effectively with stakeholders at all levels, both inside and outside the organization.
- Apply strong time management to balance recurring duties and special assignments.
- Contribute to special projects as needed.
Requirements
- Previous administrative experience in a corporate environment.
- Comfort working in a demanding, fast-paced setting.
- Financial awareness and the ability to manage budgets and purchase orders.
- Interest in building a long-term career as an administrative assistant.
- A bachelor’s degree is strongly preferred.
- High professionalism and the ability to handle confidential information with discretion.
- Excellent organization and interpersonal skills, with the ability to work across internal teams, external partners, and diverse cultural or creative backgrounds.
- Strong written and verbal communication abilities.
- Capability to stay organized while managing multiple priorities at once.
- Sound judgment, discretion, and the ability to complete tasks with minimal direction.
- Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Ability to adapt quickly and learn new systems efficiently.
- Proactive mindset, forward thinking, and creative problem-solving ability.
- Comfort working collaboratively across multiple functions.

The expected salary range for this role is $90,000 to $126,000 per year. Final pay will depend on factors such as location, experience, education, and skill level.
