About the role
In this position, you will support the owner, Anna Ruhland, as a trusted right hand and keep the daily administrative engine running smoothly. The role is based in the Greater Munich Metropolitan Area and is focused on keeping priorities clear, communication flowing, and projects moving across the organization.
Key responsibilities
- Manage the owner’s day-to-day administrative workload, including calendar coordination, email handling, and selected independent projects.
- Set priorities on your own, help prepare business decisions, and stay one step ahead of upcoming needs.
- Act as the main coordination point across the group’s departments, especially HR, Finance, Data & AI, and Production, so projects progress without friction.
- Handle professional communication with internal and external stakeholders and quickly identify where immediate attention is needed.
- Stay calm and solution-focused when unexpected issues arise, and keep things moving even under pressure.
What you should bring
- Several years of experience as an executive assistant or in a similar support role.
- Strong command of Google Workspace, with excellent capability in calendar management and scheduling.
- An entrepreneurial mindset with a proactive approach and the drive to take ownership of topics and push them forward.
- Good judgment in sensitive situations, plus a highly reliable, accurate, and discreet way of working even during demanding periods.
- Natural use of AI tools to make workflows smarter and deliver results faster.
- Very good German language skills at C1 level, with confident spoken and written communication.
