About the Role
Matter Health is hiring a polished, highly organized Executive Assistant to act as a dependable partner to three executive leaders based in Nashville. The position will mainly support the CEO and the VP of Care Operations, while also assisting the Chief Human Resources Officer and the Nashville office with administrative and operational needs as required.
This role suits someone who performs well in a changing environment, uses strong judgment and discretion, thinks ahead, and enjoys helping senior leaders work more effectively. The position is located in Nashville and is mostly on-site, with only limited hybrid flexibility depending on business needs.
Executive Support
- Oversee complex calendars, prioritizing meetings, appointments, scheduling, and travel coordination for executives.
- Arrange domestic travel end to end, including flights, accommodations, ground transportation, and detailed trip plans.
- Develop agendas, executive-ready materials, presentations, and supporting documents for meetings.
- Monitor follow-ups, deadlines, and action items to help ensure tasks are completed on time.
- Manage confidential communication and sensitive information with care, professionalism, and discretion.
- Act as a primary contact for both internal teams and outside stakeholders.
- Provide support for executive meetings, events, off-site sessions, and special initiatives.
- Stay ahead of executive needs and solve issues proactively before they escalate.
Office Operations
- Help run the daily operations of the Nashville office.
- Coordinate office logistics, supplies, vendor partnerships, and meeting room requirements.
- Handle incoming and outgoing mail distribution.
- Support company events, executive gatherings, and special projects.
- Work with cross-functional teams to keep communication and coordination running smoothly.
Administrative Excellence
- Create, revise, and format PowerPoint decks, reports, and executive-level documents.
- Organize meeting logistics, conference calls, and technology support needs.
- Take meeting notes and share action items when needed.
- Manage expense reporting and general administrative records.
- Maintain strong organization while balancing multiple priorities and deadlines.
Qualifications
Required
- Bachelor’s degree or equivalent practical experience.
- At least 7 years of Executive Assistant experience supporting senior leadership or C-suite executives.
- Hands-on experience coordinating complex calendars and travel arrangements.
- Excellent attention to detail and strong organizational ability.
- Strong spoken and written communication skills.
- High standards of professionalism, discretion, and confidentiality.
- Ability to juggle competing priorities in a fast-paced environment.
- Advanced Microsoft Office skills, especially Outlook, PowerPoint, Excel, and Word.
- Demonstrated ability to work independently and use sound judgment.
Preferred
- Experience supporting more than one executive at the same time.
- Background as a trusted partner or primary support resource to executive leadership.
- Experience coordinating executive meetings, events, and special projects.
- Exposure to office management or workplace operations.
- Experience in a high-growth or fast-moving organization.
