Role Overview

What You Will Do

  • Tailor administrative support to the executive leader’s preferred working style and help maximize their efficiency through clear, consistent communication.
  • Own the executive’s calendar and correspondence, resolve conflicts promptly, and keep them informed of updates and changes.
  • Maintain, organize, and archive Outlook calendars, messages, and folders in line with company records and retention practices.
  • Review incoming and outgoing mail, route it appropriately, and highlight or curate items that deserve attention.
  • Coordinate complex travel plans, including transportation, lodging, schedules, and visa or passport needs, and adjust itineraries when plans change; also complete related expense reports.
  • Support meeting preparation by gathering and distributing materials in advance, keeping the executive on schedule, and arranging virtual meeting support, media needs, and other logistics.
  • Answer calls, manage email responses as needed, and handle visitor coordination, including planned guests and unexpected arrivals.
  • Plan and organize meetings and events such as staff meetings, HR Live Chats, off-sites, and team gatherings, covering calendars, communication, technology, room setup, logistics, and follow-up.
  • Create, update, and format information for reports, correspondence, presentations, and budgets, and edit documents for correctness and presentation.
  • Act as a supporting member of the executive leader’s leadership team by joining selected meetings, recording notes, tracking action items, and following through on tasks.
  • Arrange skip-level meetings and other interactions between executives and employees when needed.
  • Contribute to special assignments and ad hoc projects as required.

Requirements

  • High school diploma or GED.
  • At least 3 years of experience working as an executive assistant or project manager.
  • At least 3 years of experience using Microsoft tools such as Outlook, SharePoint, OneDrive, PowerPoint, Word, Excel, and related applications.
  • Excellent verbal and written communication skills.
  • Strong editing, writing, and proofreading ability is preferred.
  • Ability to learn new software systems, cloud tools, and products quickly.
  • Self-starter mindset with initiative for resolving issues and concerns.
  • Highly organized, detail-focused, and effective at managing time.
  • Maintains a strong standard of integrity and confidentiality with sensitive information.
