Role Overview

Guardian Industries is seeking an Admin Assistant for its Al Jubayl site in Saudi Arabia. In this role, you will support site operations through administrative services covering employee administration, government liaison work, accommodation and welfare coordination, contractor support, and team development.

Key Responsibilities

  • Oversee the full cycle of iqama, visa, and work permit processing, including renewals, amendments, and any associated penalties.
  • Deliver routine employee administration support such as record handling and assistance with joining and exit processes.
  • Coordinate employee travel arrangements, including flights and hotel bookings, and manage visitor invitations and permits.
  • Complete government-related procedures with agencies such as GOSI, Labor Office, Passports, Civil Defense, and the municipality.
  • Maintain compliance with labor regulations and legal requirements, and support official inspections and audits.
  • Serve as the point of contact with authorities during incidents, investigations, and related inquiries.
  • Manage labor camp agreements, track service performance, and support employee welfare programs.
  • Handle disciplinary matters and support supervisors with corrective action guidance and documentation.
  • Administer contractor-related matters, including attendance, payroll coordination, safety, and contract compliance.
  • Supervise drivers, security personnel, and government relations staff.
  • Coach, train, and develop the administrative team while tracking performance and sharing feedback.
  • Encourage PBM practices and support ongoing improvements in administrative workflows.
