Role overview
The Security Clearance Coordinator will oversee and coordinate all security clearance activities for personnel, subcontractors, vendors, consultants, and partner companies working on the project. This position is based in Riyadh, Saudi Arabia, and supports compliance with Ministry of Defense (MOD) requirements as well as internal company policies. A key part of the job is ensuring that no person or organization is granted access to project sites, systems, or sensitive records without the necessary approvals.
Core responsibilities
- Manage the end-to-end MOD security clearance process for employees, subcontractors, consultants, vendors, and companies involved in the project.
- Gather, examine, and validate all required clearance forms and supporting documents before submission.
- Prepare complete security clearance submission packages aligned with MOD rules and project procedures.
- Submit applications and documentation through the approved MOD channels and follow the process through to completion.
- Track new, renewed, and expired clearances to keep records current and avoid access delays.
- Monitor the status of submitted requests and maintain regular follow-up with MOD authorities and other stakeholders.
- Work with subcontractors and project teams to close gaps, chase missing documents, and resolve clearance issues.
- Escalate delayed, rejected, or blocked cases to management when intervention is needed.
- Maintain updated dashboards and reports showing clearance progress, pending cases, and approval status.
- Ensure all activities comply with MOD security regulations, company rules, and confidentiality obligations.
- Confirm that no one accesses project areas or sensitive documents without the proper clearance in place.
- Coordinate access permissions and restrictions with site security teams.
- Control document access so only authorized personnel can view restricted information.
- Support the rollout of security procedures and controlled-access practices.
- Keep all clearance files, approvals, and related records organized, secure, and confidential.
- Build and maintain tracking databases and record systems for security clearance management.
- File, archive, and retain security documents in line with company and MOD requirements.
- Maintain accurate logs for personnel, subcontractor, and company clearances.
- Protect sensitive data and handle information with strict confidentiality at all times.
- Coordinate with project management, HR, subcontractors, and external agencies on clearance requirements and process needs.
- Guide employees and subcontractors on MOD procedures and document requirements.
- Support onboarding and mobilization by ensuring clearance readiness before deployment.
- Act as the main point of contact for all security clearance questions and communication.
- Prepare periodic reports covering clearance status, pending approvals, expired clearances, and compliance concerns.
- Identify process bottlenecks and suggest improvements to make clearance handling more efficient.
- Support audits, inspections, and compliance reviews related to project security clearance activities.
- Assist management in refining security clearance procedures and workflows.
Requirements
- Bachelor’s degree in Business Administration, Security Management, Public Administration, or a related discipline.
- At least 5 to 8 years of experience in security coordination, security clearance handling, project administration, or government relations.
- Hands-on experience with MOD security clearance processes and confidential document handling.
- Background in coordinating with subcontractors, government authorities, and project teams.
- Working knowledge of access control, restricted environments, security paperwork, and compliance procedures.
- Strong understanding of confidentiality, regulatory compliance, and security protocols.
- Experience in large construction, infrastructure, or defense-related projects is highly desirable.
- Security-related certifications are considered an advantage.
- Training in confidentiality, information security, or access control is preferred.
- Proficiency in Microsoft Office and document management systems.
