Role Overview

We are hiring a Procurement Manager / Assistant Procurement Manager for a Dubai-based role in Nad Al Hammar. The position focuses on overseeing procurement and supply chain operations from start to finish. It suits a driven professional from the perfume, cosmetics, or personal care manufacturing space who can handle sourcing, international shipping, demand forecasting, and indirect purchasing while keeping operations running smoothly.

What You Will Do

  • Buy fragrance oils, alcohol, chemicals, and other raw materials needed for production.
  • Arrange sourcing for packaging items such as bottles, caps, pumps, labels, cartons, gift boxes, and display packaging.
  • Build and maintain strong relationships with both local and overseas suppliers.
  • Work out prices, payment terms, contract conditions, and delivery timelines with vendors.
  • Look for alternate suppliers and introduce practical cost-reduction ideas.
  • Create procurement plans using sales forecasts, production schedules, and store replenishment needs.
  • Track stock levels and keep inventory at the right balance to prevent shortages or overstocking.
  • Coordinate regularly with Production, Warehouse, Sales, Retail Operations, R&D, and Finance teams.
  • Oversee overseas shipments from purchase order placement through final delivery.
  • Liaise with freight forwarders, shipping lines, airlines, and customs brokers.
  • Prepare and manage shipping paperwork such as commercial invoices, packing lists, Bills of Lading, Air Waybills, Certificates of Origin, and customs clearance documents.
  • Control freight spending while making sure deliveries arrive on time.
  • Handle procurement for office stationery, general supplies, IT hardware, POS systems, accessories, warehouse consumables, facility consumables, maintenance and service contracts, retail operations supplies, corporate gifts, and promotional merchandise.
  • Support Marketing and Retail teams by sourcing visual merchandising materials, POS displays, window displays, exhibition and event booths, promotional giveaways, shopping bags, gift boxes, packaging, marketing collateral, and branded items.
  • Ensure procurement is completed on time for product launches, retail campaigns, brand activations, trade exhibitions, and corporate events.
  • Review supplier performance using quality, cost, delivery, and service measures.
  • Maintain procurement records and supplier agreements.
  • Carry out periodic supplier evaluations and identify improvement opportunities.
  • Deliver savings without affecting quality standards.
  • Follow company procurement procedures and approval requirements.
  • Assist with inventory audits and procurement-related reporting.

Requirements

  • A bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or a closely related discipline.
  • At least 7 years of procurement experience, including a minimum of 3 years in a managerial role with team responsibility.
  • Strong preference for candidates with experience in perfume, cosmetics, or personal care manufacturing.
  • Practical background in sourcing fragrance oils, packaging materials, and coordinating import/export logistics.
  • Proven ability in demand planning and inventory control.
  • Experience managing indirect procurement across office, IT, and marketing categories.
  • Solid negotiation ability, analytical thinking, and supplier management skills.
  • Working knowledge of ERP platforms such as SAP, Oracle, Microsoft Dynamics, Odoo, or similar systems, along with advanced Excel skills.
  • Familiarity with international sourcing practices and Incoterms is an advantage.
  • Experience coordinating freight and customs clearance is preferred.
  • Ability to perform effectively in a fast-moving, multi-location retail and manufacturing environment.
  • Strong communication, planning, and problem-solving capabilities.
  • Commercially minded with a focus on continuous improvement and cost efficiency.
