Inbound Operations Executive Warehouse (Third Party Payroll)

This position is for an Inbound Operations Executive working at the warehouse in Luhari, Gurgaon, and reporting to the Warehouse Manager. Core responsibilities

The role involves coordinating inbound operations, validating shipments against documents, ensuring system postings are accurate and timely, and supporting inventory integrity through proper put-away and reconciliation. The executive will also work closely with internal and external stakeholders to resolve discrepancies, maintain compliance, and improve inbound efficiency.

Receiving and quality control

• Plan dock and vehicle movement in coordination with transport partners and security staff.
• Oversee unloading activity and verify quantities as well as visible condition of goods.
• Check for issues such as product damage, seal breaks, batch or lot mismatches, MRP concerns, and expiry/FEFO compliance.
• Log shortages, damage cases, and any discrepancies without delay.

Documentation and system entries

• Cross-check purchase orders, ASN, delivery notes, and invoices before posting receipt entries.
• Complete GRN postings in the WMS/ERP within the required SLA and record any mismatches or comments clearly.
• Ensure goods are correctly labeled, palletized, and barcoded before put-away.
• SAP knowledge will be considered an added advantage.

Put-away and inventory control

• Carry out scan-driven put-away into the system-assigned storage locations.
• Support daily inventory reconciliation and explain variances wherever needed.
• Keep records audit-ready and coordinate with Finance for goods receipt support and document completeness.

Coordination and communication

• Work with factory teams, sourcing, transporters, QA, PO, SAP, LEA, and Planning teams to close inbound issues.
• Share prompt updates with the Warehouse Manager on delays, damage incidents, and escalations.
• Follow company and regulatory requirements, along with SOPs, safety norms, and 5S practices.

Reporting and continuous improvement

• Prepare daily inbound MIS covering receipts versus plan, dock-to-stock time, GRN turnaround time, damages, and accuracy.
• Identify and support small process improvements in receiving, staging, and put-away to reduce time and cost while improving accuracy.

Working environment

The position is based in a busy warehouse setting where peak-season extended hours may be required. The job involves standing and walking for long periods, handling moderately heavy items with material handling equipment after training, and following PPE, safety, and 5S standards at all times.

Qualifications and experience

A graduate or postgraduate degree is preferred, ideally in Supply Chain, Logistics, Business Administration, or Engineering. The role calls for at least 3 years of experience in inbound warehouse operations, preferably in retail, lifestyle, FMCG, or e-commerce environments.

Technical and soft skills

Hands-on experience with WMS/ERP platforms such as SAP EWM, Oracle, or BlueYonder, along with handheld scanners, is important. Strong Excel ability, including pivots, VLOOKUP, and basic formulas, is expected. Familiarity with PO, invoice, and ASN documentation, plus basic awareness of GST and e-way bill processes, is an advantage. The position also requires a sharp eye for detail, accountability, clear communication, stakeholder coordination, problem-solving under pressure, and a strong safety-first mindset.
