Role Overview
This full-time, on-site Human Resources Assistant position in Ocoee, Florida supports day-to-day HR operations and helps create a smooth experience for team members. It is an entry-level opportunity for someone who wants to grow a career in human resources within a busy hospitality setting. The role involves handling employee information, assisting with onboarding and compliance tasks, and supporting internal communication while maintaining strict confidentiality.
What You Will Be Doing
- Act as the first contact for the HR office by welcoming team members and visitors and directing questions to the right department, such as Benefits or Payroll.
- Keep HR supplies stocked, manage forms inventory, and maintain labor law posters.
- Update and organize both digital and physical personnel files, including I-9 records and compliance tracking.
- Retrieve and prepare HR documents for audits, employee relations matters, and legal requests.
- Confirm that required team member acknowledgements and supporting paperwork are completed.
- Assist with timekeeping tasks through HRIS tools, with ADP experience preferred.
- Help coordinate onboarding steps such as workspace preparation, system access, and required documentation.
- Maintain shared HR folders and ensure files are accurate and up to date.
- Keep the HR office orderly and running efficiently.
- Prepare and send internal notices, communications, and other HR correspondence.
- Support the mailing of documents for current and former team members.
- Review, code, and submit invoices and manage related expense records.
- Assist with benefits meetings, employee engagement activities, and HR events.
- Help arrange travel for HR leadership when needed.
- Support HR reports, presentations, audits, and documentation projects.
- Provide administrative support to HR leadership and contribute to special projects.
- Take on other tasks as assigned.
Experience and Education
The preferred background includes 1–2 years of experience in administrative work or an entry-level HR role. Experience supporting office or department operations is also helpful. Familiarity with HRIS platforms, especially ADP, and document management systems such as ImageQuest is preferred. An associate degree in Business Administration, Human Resources, or a related area is preferred.
Skills and Working Style
This position calls for a person who is organized, precise, professional, and comfortable handling sensitive information. Strong communication skills, the ability to prioritize effectively, and a detail-oriented approach are important. The role also requires confidence working with team members and leadership, plus proficiency in Microsoft Word, Excel, and Outlook. Bilingual English/Spanish ability is an added advantage.
