Role Summary
The Food Beverage Controller will be responsible for managing stock across storage areas inside and outside the outlet, safeguarding ingredients, and ensuring FSM standards are followed consistently. The role includes monitoring inventory movement, raising purchase orders, handling receiving and transfers, maintaining accurate system records, and building a professional working relationship with vendors.
Key Duties
- Prepare purchase orders for local suppliers so inventory remains available and aligned with the outlet or warehouse PAR levels.
- Share orders with vendors and track delivery schedules, including dates and times.
- Check incoming deliveries against the purchase order and invoice to confirm quantity, brand, specification, shelf life, and price.
- Escalate stock shortages, delivery problems, pricing concerns, and related issues to the relevant teams, and follow up until resolved.
- Keep storerooms tidy, clearly zoned, clean, and stocked according to FEFO and PAR standards.
- Help establish, review, and update PAR levels based on consumption patterns, fast-moving and slow-moving items, and storage constraints.
- Manage store-to-store transfers by coordinating outgoing movement, logistics, physical packing and picking, dispatch, handover of documents, and status updates.
- Receive incoming transfers, verify quantities, shelf life, and product details, and complete stock updates in the system.
- Record wastage transactions daily, produce wastage reports, and identify any non-compliance.
- Record preparation entries daily, issue prep reports, and flag non-compliance cases.
- Monitor warehouse stock movement records and keep inventory updated through system tools and supporting files such as Excel.
- Carry out spot checks and counts in the warehouse, ensuring safe and organized storage, and prepare variance and maintenance summaries.
- Oversee mass stock receiving and confirm that delivered quantities match ordered and invoiced quantities, reporting damages or differences and initiating corrective actions.
- Maintain frequent communication with vendors through email, groups, and other channels to improve stock status, request quotations, challenge price increases, discuss brand changes, specification changes, and unit-of-measure variances.
Requirements
- Strong knowledge of stock control, inventory tracking, and warehouse handling processes.
- Ability to prepare and manage purchase orders and vendor communications.
- Experience checking deliveries against invoices and purchase orders for accuracy in quantity, quality, brand, and shelf life.
- Familiarity with FEFO, PAR levels, stock zoning, and store organization practices.
- Capability to manage stock transfers, wastage entries, prep entries, and related system updates accurately.
- Comfort using inventory files, spreadsheets, and alternate tracking tools such as Excel.
- Attention to detail when conducting counts, spotting variances, and documenting findings.
- Ability to coordinate with internal teams and external vendors in a professional and consistent manner.
