Role Overview
Our client is an expanding global professional services business strengthening its footprint in the United States and is seeking a polished Executive Assistant to support the Chief Financial Officer. This is a strong opportunity to join a leading organisation and partner with senior leaders in a fast-moving, international setting. The role begins in a central WeWork location and the company is expected to relocate into permanent office space near Times Square in early 2027, with the new EA playing an active role in that transition. The ideal candidate will be highly proactive, confident handling competing priorities, experienced in supporting C-suite leaders, and able to work with discretion, professionalism, and independence. The position is mainly office-based, with some flexibility to work from home.
Key Responsibilities
- Oversee demanding calendars, meetings, schedules, and appointments to keep executive time organised effectively.
- Create, polish, and coordinate reports, presentations, correspondence, and other business documents to a consistently high standard.
- Assist with board- and governance-related work, including preparing and arranging meeting packs and supporting materials.
- Help plan and deliver leadership events, team gatherings, town halls, and offsite meetings.
- Serve as a reliable point of contact, resolving issues proactively and supporting top-priority matters.
- Organise and rank requests coming from senior stakeholders and executive offices.
- Coordinate domestic and international travel, covering schedules, hotels, visas, and related logistics.
- Greet and support external guests to ensure a professional and welcoming experience.
- Handle email and phone communications, dealing with urgent items promptly and responding to routine queries as needed.
- Record accurate minutes, track action points, and ensure follow-through happens on time.
- Process expenses and invoices and provide general administrative support to the department.
- Occasionally assist with personal administrative tasks when appropriate.
- Develop effective working relationships with internal colleagues and outside contacts.
- Consistently maintain professionalism, accuracy, and confidentiality.
Skills and Experience
- Substantial experience as an Executive Assistant supporting C-suite leaders.
- Experience operating within complex, matrix-style organisations.
- Experience in financial services, insurance, professional services, or another corporate setting is a plus.
- Strong organisation and prioritisation abilities, with confidence working on your own.
- Excellent accuracy and a commitment to delivering high-quality output.
- Demonstrated ability to manage sensitive information discreetly.
- Strong written and verbal communication skills, with the confidence to interact across all levels.
- Proven experience managing complex stakeholder relationships and executive communications.
- Comfort working flexibly across different international time zones.
- Additional language ability would be beneficial.
