Role Overview

The Clinical Operations Administrative Assistant supports the Clinical Operations leadership team with day-to-day operational coordination and administrative tasks. This position acts as the central point for provider onboarding and offboarding coordination, provider communication, meeting and training logistics, access tracking, and routing work to the right internal teams.

The role calls for strong attention to detail, dependable follow-through, and the ability to balance several active workflows while keeping communication clear for internal stakeholders and providers. Key Responsibilities

  • Manage the full provider onboarding workflow from hire through final handoff, including tracker maintenance, welcome outreach, collection of required documents, access request submission, training and calendar coordination, completion tracking, and escalation of any missing items before the Clinical Manager signs off.
  • Handle provider offboarding after a departure is confirmed by coordinating with cross-functional partners, sending termination-related communications such as collaboration agreement cancellations, overseeing IT access removal, and documenting each completed step.
  • Oversee system access across tools such as the LifeMD Provider Portal, Elation, Slack, pharmacy portals, and lab portals by submitting and following up on requests, answering basic access questions, escalating technical issues to IT, and recording credentialing-approved licenses in the relevant systems.
  • Create and distribute provider and internal communications on behalf of leadership, including announcements, training reminders, meeting reminders, workflow updates, and policy updates, while keeping message templates organized and current.
  • Arrange provider meetings and training sessions by preparing invites and agendas, coordinating vendor demos, tracking attendance, sharing recordings, and following up on action items.
  • Keep operational trackers, SOPs, checklists, and documentation current; prepare leadership summaries and reports; and maintain visibility into provider readiness, access status, and training completion.
  • Act as the initial routing contact for provider questions and operational requests, directing them to the right teams such as Scheduling, Credentialing, Pharmacy, IT, and RCM, and assist with special project coordination as needed.
