About the Studio
Be-Kin is a London-based interior design practice creating thoughtful, beautifully executed spaces for its clients. As the studio continues to grow, it is seeking a highly organised, client-oriented professional to support day-to-day operations and help the team work efficiently.
The Role
This position sits at the centre of the studio and combines executive assistant support with studio coordination. You will be the main contact for client enquiries, help keep communications and schedules on track, and make sure projects and internal tasks move forward without things being missed. The role enables the design team to stay focused on delivering strong creative work.
Location and Working Pattern
This is a studio-based role in London, UK, at 110 Gloucester Ave, NW1 8HX. The position is part-time, 3 days per week, with the possibility of increasing over time. The role reports to Wren Loucks, Founder & Creative Director.
Key Responsibilities
You will manage client communication, support studio operations, and assist with finance-related administration. The role includes maintaining records, coordinating schedules, and helping the team stay organised and productive.
Client and Communications Management
- Serve as the first contact for both new and returning client enquiries.
- Handle correspondence in a prompt, polished, and friendly manner.
- Draft proposals, contracts, and meeting notes as needed.
- Keep the CRM or project management system accurate and up to date.
Studio Operations
- Coordinate diaries and scheduling for Wren Loucks and the wider team.
- Review project programmes and timelines with the design team to support efficient delivery.
- Monitor designers’ timesheets and deliverables, helping set monthly priorities and objectives.
- Order office supplies such as paper and printer ink, and liaise with cleaners and subcontractors to keep the studio orderly.
- Arrange supplier showroom visits and CPD sessions for the design team from time to time.
Finance Support
- Work with the finance team to issue client invoices and prepare monthly progress reports.
- Track project budgets and alert Wren Loucks to any discrepancies.
- Support FF&E procurement by coordinating with the design and finance teams and keeping records organised.
- Maintain receipts and documentation for the studio accountant.
What We’re Looking For
The ideal candidate is a warm, confident communicator with strong organisational ability, attention to detail, and a proactive approach. You should be comfortable taking initiative, managing your own workload, and working discreetly as a dependable team player.
Desired Experience and Skills
Experience in a creative studio, design practice, or interior/architecture environment is strongly preferred. Familiarity with project management tools such as Asana, Excel, or Harvest is helpful, as is basic experience with bookkeeping or invoicing systems like Xero.
Nice to Have
It would be an advantage to have worked in interior design, architecture, or another luxury creative sector. Experience with Estimac/EstiPC or InDesign would also be useful, along with a strong visual eye and appreciation for well-designed spaces.
