What you will do
The Payroll Specialist will own the end-to-end processing of assigned payrolls for Canada and/or the US, including year-end activities, third-party remittances, garnishment setup, and payroll journal entries. This role supports both hourly and salaried employees in union and non-union environments.
- Process Canada and US payrolls on weekly and bi-weekly cycles for hourly and salaried staff.
- Handle payroll scenarios such as garnishments, incentive payouts, deferred incentives, stock options, hypo tax, shadow payroll reporting, and pension payrolls.
- Complete payroll balancing against year-end calendars and assist with audits for other payrolls when required.
- Set up garnishments from the beginning and ensure third-party remittances are prepared and reconciled by due dates.
- Keep payroll records accurate, current, and complete.
- Carry out year-end balancing and support the preparation, filing, and distribution of T4s and/or W2s, including amendments when needed.
- Prepare monthly, quarterly, and annual reports for internal and external stakeholders, including Finance, Operations, and statutory reporting.
- Post payroll journal entries and reconcile related general ledger accounts as requested.
- Maintain detailed division notes, run books, and payroll processing instructions.
- Respond to payroll questions in a way that supports a positive employee experience.
- Take part in payroll system implementations by helping define requirements, supporting test planning, and recording test outcomes.
- Keep checklists and process documentation up to date.
What we are looking for
The ideal candidate brings strong payroll knowledge, excellent organization, and a high level of precision. This role also requires the ability to balance multiple priorities while protecting sensitive information.
- Three to five years of experience processing large-scale payrolls in the US and Canada, ideally for 2,500 or more employees.
- Experience with expatriate or commuter payrolls is an advantage.
- PCP or FPC designation is preferred, or the willingness to work toward one.
- Advanced Excel ability for reporting, metrics, and data checking.
- Strong planning, organization, and prioritization skills.
- Ability to manage confidential information appropriately.
- Very high attention to detail and a track record of producing accurate, high-quality work.
Compensation and work status
The role starts at a salary of $60,000 per year and is available immediately. This is a regular, permanent full-time position based onsite in Aurora, Ontario, Canada.
