Scheduler - All Service Lines
Department: Operations
Reports To: Director of Staffing & Recruitment
Employment Type: Full-Time
Work Setting: Remote (India)
Salary Range: ₹65,000 – ₹75,000 per month
About the RoleDragonfly Cares is seeking a highly organized and detail-oriented Scheduler to support our ABA, Behavioral Health, and School-Based Services programs. This role is responsible for coordinating client and provider schedules, maintaining authorization compliance, and ensuring continuity of care across service lines.
The ideal candidate thrives in a fast-paced environment, manages multiple priorities effectively, and communicates professionally with families, providers, and internal teams.
Key Responsibilities include but are not limited to:
Scheduling & Coordination
Create, maintain, and update provider and client schedules across multiple service lines.
Coordinate provider assignments based on availability, location, qualifications, and client needs.
Manage schedule changes, cancellations, make-up sessions, and coverage requests.
Monitor scheduling gaps and work proactively to ensure continuity of services.
Maintain accurate scheduling records within company systems and platforms.
Authorization & Service Compliance
Track active authorizations and ensure scheduled services align with approved hours.
Monitor authorization expiration dates and assist with renewal coordination.
Identify scheduling discrepancies and communicate concerns to appropriate teams.
Support efforts to maximize utilization of authorized service hours.
Communication & Collaboration
Serve as a primary point of contact for scheduling-related inquiries.
Communicate schedule updates and changes to providers, families, and internal stakeholders.
Collaborate with clinical, operations, staffing, and billing teams to support service delivery.
Respond promptly to scheduling requests and operational needs.
Documentation & Reporting
Maintain accurate records of cancellations, make-up sessions, and provider availability.
Generate scheduling and utilization reports as needed.
Ensure all scheduling documentation complies with HIPAA and organizational standards.
Qualifications:
Bachelor's degree in Business Administration, Healthcare Management, Operations, Human Resources, or a related field.
Minimum 2 years of experience in scheduling, workforce management, operations coordination, or administrative support.
Strong proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word.
Excellent verbal and written communication skills in English.
Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
High attention to detail and accuracy in data management and scheduling.
Ability to work independently while collaborating effectively with cross-functional teams.
Comfortable working in a rotational or fixed shift environment supporting U.S.-based operations.
Preferred Experience:
Experience supporting healthcare, behavioral health, home care, or service-based organizations.
Familiarity with scheduling platforms, CRM systems, EHR systems, or workforce management tools.
Experience coordinating remote teams or field-based staff.
Knowledge of U.S. business operations, staffing, or healthcare scheduling processes.
Experience working with international clients or in a BPO/KPO environment.
