Role Overview
This position sits at the center of recruiting operations and talent technology. The coordinator will support high-volume hiring through precise scheduling, candidate communication, and process coordination, while also designing AI-enabled workflows, dashboards, and automations that reduce manual work and improve speed and quality across the talent function.
This is a hands-on, builder-oriented role for someone who is highly organized, technically curious, and comfortable thriving in a fast-paced environment where operational execution and innovation are equally important. The role reports to the VP, Talent Acquisition & Technology.
Core Responsibilities
- Coordinate interviews across teams, calendars, locations, and time zones while keeping the hiring process moving efficiently.
- Handle candidate communication from the first interview stage through offer discussions, ensuring messages are timely, clear, and professional.
- Make sure both interviewers and candidates have the right context, details, and preparation materials before each meeting.
- Maintain accurate candidate records in the applicant tracking system and related recruiting tools.
- Work closely with recruiters to manage interview loops, feedback collection, and decision timing.
- Create AI-based workflows that reduce repetitive work in scheduling, follow-ups, communications, and data entry.
- Continuously look for routine tasks that can be automated and implement solutions to eliminate unnecessary manual effort.
- Use AI agents, prompting frameworks, and no-code or low-code tools to streamline recruiting operations.
- Document workflows, measure results, and refine systems over time.
- Build live dashboards that show pipeline health, recruiter output, time-to-fill, interview conversion, and candidate experience metrics.
- Use data insights to help recruiters and hiring managers spot bottlenecks and make quicker decisions.
- Provide a responsive, warm, and dependable experience for candidates throughout the hiring journey.
- Use technology to personalize communication, shorten response times, and prevent candidate drop-off.
- Improve scheduling, reminders, feedback processes, offer logistics, and onboarding handoffs as hiring scales.
Requirements
- At least 1–3+ years of experience in recruiting coordination, HR operations, or another high-volume operational role.
- Practical, daily use of AI tools such as GPT, Claude, Gemini, or similar automation and workflow platforms.
- Proven experience creating automations, prompt systems, agent-based workflows, dashboards, or tools that improved how work gets done.
- Experience working with recruiting data and metrics such as time-to-fill, pipeline conversion, interviewer capacity, or candidate NPS.
- Excellent organization and attention to detail in a high-volume setting.
- Strong written and verbal communication skills, especially under pressure.
- Hands-on experience with ATS platforms, ideally Greenhouse, plus scheduling or recruiting tools.
- Ability to manage multiple priorities in a changing, fast-moving environment without losing accuracy.
- Strong judgment, discretion, and a consistently high standard for candidate experience.
- A problem-solving mindset focused on finding and fixing inefficiencies.
Compensation and Benefits
The role offers a target total compensation package of $68,000 to $86,000, which includes a fixed annual salary of $62,000 to $78,000, an employee equity grant, and a bonus, along with comprehensive benefits. Equity grants are provided in good faith and remain subject to company policies, board approval, and individual eligibility.
