Role overview
This position is for a Receptionist in Dubai at a school setting, supporting front-desk operations, visitor handling, and day-to-day administrative work. The role is suited to someone who can manage a busy reception area, communicate professionally with parents, students, staff, and visitors, and contribute to a well-organized school environment.
Core duties
- Offer confidential secretarial and administrative assistance whenever needed.
- Serve as the first contact for visitors, parents, students, and staff while maintaining a courteous and professional front desk experience.
- Handle incoming calls and visitors by assessing enquiries, responding appropriately, and forwarding them to the right person or department.
- Communicate with parents, staff, and students through in-person discussions, phone calls, emails, and written messages regarding questions, concerns, complaints, and general updates.
- Protect sensitive information, including student records and organizational documents, at all times.
- Manage inward and outward correspondence, including mail handling and email communication.
- Support the planning and coordination of school activities and events such as Sports Day, Swimming Galas, Parent Evenings, Information Evenings, Open Evenings, Residential Visits, and school productions or performances.
- Carry out general clerical tasks such as photocopying, filing, scanning, document handling, form completion, data entry, and record updates.
- Keep databases, filing systems, and office records accurate and current.
- Help arrange appointments, meetings, and calendars when required.
- Assist with Extra-Curricular Activities, including sign-ups, communication, attendance tracking, and event coordination.
- Keep the reception area tidy, professional, and welcoming throughout the day.
- Oversee visitor sign-in routines and support school security and safeguarding procedures.
- Manage ordering and control of office and reception supplies.
- Work cooperatively with colleagues and understand how the reception role supports the wider school operation.
- Develop positive working relationships with students, parents, colleagues, and external contacts.
- Adhere to all school policies, procedures, and safeguarding standards.
- Remain adaptable and assist other departments when needed.
- Perform other reasonable tasks assigned by the Principal or the PA to the Principal.
